Set Up Document Fields

Document fields provide keys that you can use to file and retrieve documents and images in NextGen® Document Management. You can create the following field types: System fields, or key fields, that locate specific person information in the database. For example, when you specify a person number, the other system field data such as last name and first name are retrieved automatically. The key fields are: encounter number, person number, and MRN. User defined fields that are not linked to any person demographic values. You can enter any value you want for a user-defined field. Open File Maintenance. In Master Files, select System, and then select Document Fields. The Document Fields List window opens. Select the open menu button, and then select New. The Document Field window opens. In Description, enter the field name you want to create. To designate the field type, select either the System or User-Defined option. For a system-defined field, select a name that you want to associate with

Appointment Book Tab Filter Details

You can view the description of the filters available on the Appointment Book tab. The table provides information about the filters using which you can filter the patients. Filters Description Locations You can select one or more locations to filter patients for display in the patient grid. If you have not selected a location, then location options in the list default to locations associated with the practice you have selected at the time of log in. You can change the default location and select more than one location. When you close and return to the application, the previously selected locations in NextGen Care® Population Management Hub are available. Date You can set appointment date range to filter scheduled patients. Date field is the only mandatory search parameter. Time You can set the appointment time range to filter scheduled patients. Using Provider Approval Queue for Sign-off

When you file a document or patient encounter specifically to a rendering provider, the document appears in the PAQ for the provider in NextGen® Enterprise EHR. All documents require a signature in the NextGen® Enterprise EHR PAQ. Requiring a signature is a setting for the document type assigned to the image. The encounter number appears in the PAQ for the rendering provider. When a document with annotations is saved and posted in NextGen® Document Management, the annotations are not retained when the document appears in the NextGen® Enterprise EHR PAQ. Note: A filed document appears in the PAQ if the Signature Required option is selected and if it includes the Rendering Provider field on the Document Type, even if the document does not have the Encounter Nbr field for you to enter the encounter number. In the File window of NextGen® Document Management, Document Type lists all the providers assigned for the document type, in the PAQ Provider list. PAQ providers are marked with a green

Set Up Document Linking Practice Preferences

To link DM images to orders functions in DM and PAQ, your practice must first set up the appropriate order type filter preferences. To select the default order preferences that the system displays in DM and the PAQ for document linking, do the following: Select File Maintenance > Master Files > System > EHR > Practices > Preferences > Orders Module. Select All tab. In the Orders / Results Linking section, select the default order type to display when selecting orders to link to a scanned document. If your practice receives the majority of radiology test results as scanned documents, select Diagnostics/Radiology as the Default View. In the Order Type and Default Source section, select the Default Source for each Order Type. If your practice places the majority of your Radiology orders in NextGen® Adaptive Content Engine, select Adaptive Content Engine (as the source). If Lab Orders are placed in or processed to the Order module, select the Orders Module as the source for that order type

In the left pane of System Administrator, select the group that you want to assign the new user to. Right-click the group, and select New User. The General tab displays boxes to enter the user details. Enter the last name, first name, and middle name of the user. In the Privacy Level field, enter a number (for example, 0, 1, or 2) to indicate the level of access to patient records. Enter the user's employee number, which can be any user-defined number. Enter the user's credentials, such as MD. Use this field if your practice has users with credentials who are not providers. NextGen® Enterprise documents and reports can display the credentials. To provide details about the provider, do the following: Assigned Provider. Select the provider assigned to the user. The selected provider is automatically selected for the user upon authenticated logon at runtime. Set up Primary Care Providers for Patients

Each patient must be assigned a primary care provider. Open NextGen® Enterprise PM. From the Tasks menu, select Lookup > Charts. The Patient Lookup window opens. To search for a patient, enter the search criteria data. You can use different combinations of the search criteria to search for a patient. Select Find. Patient records that match the search criteria, appear in the Matching Records section. Double-click the patient to open. The Update Patient Information window opens. Select the Provider tab. Select open menu Open Menu button and select New. The Add Patient Provider window opens. Select the provider type in Preference Name. Provider types are set up on the Providers tab in Practice Preferences. Select the applicable provider from the Provider list. Select the Primary Preference Name check box. This field is required.
