You can use the User Preferences window in NextGen® Document Management to add a default rendering provider, enable barcode recognition, preview images during import, and to cache patient or user-defined data to a patient encounter.
- Open NextGen® Document Management.
- On the toolbar, select Admin, and then select .
The Doc Mgmt tab opens in the User Preferences window.
- Select defaults for the Quick File Configuration profile, document type for filing a document, and then select the default rendering provider for the patient documents.
When you file a document, you can manually assign a rendering provider that either overrides the selected provider or fills the Rendering Provider in the patient document.
- If you are licensed for barcode recognition and want to scan documents that have barcodes, select Enable barcode recognition.
Note: You can also activate barcode recognition at the batch level when you are scanning documents by selecting Enable Barcoding from the Batch Information window.
- To configure NextGen® Document Management to recognize only the first patient barcode that appears in the batch, select Single patient barcoding.
- To display the images while you scan or import them into NextGen® Document Management, select Preview images during scan.
- To allow the system to load patient data for the previously filed document, select Cache patient data.
- To retain the information entered in the user-defined document fields when you move from one document to the next during the document filing process, select Cache user defined data.
- To prevent the NextGen® Document Management application from automatically displaying a list of available images for the active patients in either NextGen® Enterprise PM or NextGen® Enterprise EHR, select Suspend Application Sync.

- To automatically post batches during the Scan & File process, select Auto post during scan & file.
- To retain the document type used for the previous document when you select New Doc or Clear during a filing session, select Do not clear document type.
- To hide the secure batch to user field with the ID of the current user, select Disable auto batch secure.
- To automatically open the Image Batches window when you log on to NextGen® Document Management from NextGen® Enterprise PM or NextGen® Enterprise EHR through single sign-on, select Auto launch image batch.
