Acquire All Documents and Images from a Directory

You can acquire the entire contents of a directory which is on the network or a local system. Open NextGen Document Management. On the toolbar, select Scan & File to open the Batch Information window. Figure 1. Batch information screen Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. To assign the acquired batch to a user, select the user name from the Secured to User list. You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Any person with a higher security setting (such as an administrator) can still access a secured batch. To automatically save the image batch after image acquisition, select the Auto Save Batch After Acquisition checkbox. In Acquire Profile, select Directory Import. Select Acquire. File a Batch

After you scan a batch of documents and images into NextGen® Document Management, you can file them to make the individual documents of the batch easily available when you search for the document. The application contains the current file values when you change document types while filing batches. As you file a large batch, if the filing information does not change starting from the second page to several pages afterwards , you can select the navigation buttons to move through the pages until you reach a page that begins a new document. You can either select New Doc or select a different document type in the list to create a new document. Using the navigation buttons to move through a document while filing eliminates unnecessary database accesses since whenever you select File, you save the data to the database. Note: You can file maximum 50 pages in a single document. When you file to a document with a rendering provider on it and select a patient with a default primary care physician

Scan Documents and Images in Batch

Before you begin Set your scanner color settings to 200 dpi and to black and white. You can scan a document as part of a batch or the Scan & File process. Then, you can append, or add more pages to, the document you just scanned. You can append documents both before and after you post them. Place a document or image you want to scan into your scanner. Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. Audit and File Images from a Batch

You can audit the images that you select from a directory. If the images from the directory are indexed, you can post the images to one or more patient accounts. Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. In Acquire Profile, select Audit Batch, and then select Acquire.The File Import window opens. Select the archived directory from where you want to import images as part of the audit batch, and then select Open.The viewer displays the previously-indexed imported images. Import Files as a Batch

Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. In Acquire Profile, select File Import, and then select Acquire.The File Import window opens. Select the document or image file you want to import as part of the batch, and then select Open. Optional: If you want to cancel the import process, select Shift+C, and then when a confirmation message appears, select Yes to stop the file import process at the currently imported file,The batch contains all the files that are imported up to the point you canceled the process. Before you begin To ensure that you do not file any duplicate documents with similar items, configure duplicate alert messages in File Maintenance. You can acquire and file documents and images from a file in the network location or the local computer. Open NextGen® Document Management.
