Acquire Documents and Images from Files

Before you begin To ensure that you do not file any duplicate documents with similar items, configure duplicate alert messages in File Maintenance. You can acquire and file documents and images from a file in the network location or the local computer. Open NextGen® Document Management. On the toolbar, select Scan & File to open the Batch Information window. Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. To assign the acquired batch to a user, select the user name from the Secured to User list. You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Any person with a higher security setting (such as an administrator) can still access a secured batch. Scan Documents and Images in Batch

Before you begin Set your scanner color settings to 200 dpi and to black and white. You can scan a document as part of a batch or the Scan & File process. Then, you can append, or add more pages to, the document you just scanned. You can append documents both before and after you post them. Place a document or image you want to scan into your scanner. Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. Import Files as a Batch

Open NextGen® Document Management. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. On the toolbar, select Batches. In Image Batches, select the open menu button, and then select New. In Batch Information, enter a description for the batch of documents or images. In Acquire Profile, select File Import, and then select Acquire.The File Import window opens. Select the document or image file you want to import as part of the batch, and then select Open. Optional: If you want to cancel the import process, select Shift+C, and then when a confirmation message appears, select Yes to stop the file import process at the currently imported file,The batch contains all the files that are imported up to the point you canceled the process. Import Directory Contents in a Batch

You can import an unlimited number of files as a batch from a directory. You can import the files with the following formats: .jpg .tif .png .bmp .pdf Open NextGen® Document Management. You can acquire the entire contents of a directory which is on the network or a local system. Open NextGen Document Management. Post Batches

After you have acquired and filed batches, you can post them either as an individual batch or multiple batches. You can also post a batch that contains document pages that are not filed. For example, if a batch contains a single document with three pages, and only two of its pages are filed, you can still post the batch with only the filed pages. Posting a batch locks the documents in it so that only the persons assigned the Re-Filing Operation right can edit the way they are filed. Open NextGen® Document Management. On the toolbar, select Batches.The Image Batches window opens. Optional: To restrict the batches that display in the window to those that are assigned only to you, select the Show Batches Secured To Me checkbox. To view batch details for the batches that are listed in the window, activate the Show Batch Details option.You can see the number of pages in a batch and whether all or part of the batch is filed.
