Set Up Practice Default Information

In File Maintenance, select Master Files > System, and select Practices.
The Practice List access window opens. The practices that displays in this window are determined by your security rights.

Do one of the following:

To add a new item, select the open menu button and then select New.
To modify an existing item, select the item in the list, select the open menu button and then select Open.

The Practice Defaults tab on the Add/Modify Practice Information window opens.

Note: You can set the access right for the Practices master file to read-only for the groups that users belong to. This setting prevents that group of users from making any modifications to the master file.

Field	Description
Practice ID	Displays the ID of the practice. The system generates a sequential number for each new practice.
Practice Name	Enter the name of the practice. The name appears on all reports, and most forms and letters.
Claim Practice ID	If you process electronic claims and the payer requires it, enter letters in this field to create variable length alphabetic claim practice IDs for the patient control number on claims. If the field is populated and you bill a claim, the patient control number will use what you entered to generate the Claim Practice ID instead of using the real practice ID. The system normally generates the practice ID by using the following information: The number of digits set in the Patient Control number digits field in the Payer master file. The 4-digit internal ID number for the practice. The n-digit encounter number (value of a above minus 4). If a value is entered in the Claim Practice ID field, it replaces the b portion of the system-generated number. The result is a claim practice ID with the following arrangement: No leading 0s before the ID. The middle of the ID contains zeros that equal in number to the total number of payer patient control number digits minus 4. The end of the ID is the encounter number. For example, if a payer is configured for 12-character patient control number digits for practice 0032 and the encounter number is 459, the generated practice ID is 003200000459. If you open the Practice master file for practice ID 0032 and then enter A in the Claim Practice ID field, it would instead generate the patient control number as A00000000459. If the payer was set to an 8-character patient control number, the IDs would be 00320459 and A0000459 respectively for those two situations. For more information, see your claims analyst.
Address/ City/ State/ Zip/ Country/ County	Enter the practice address. The first space is for street number and name. The second space is for other address details such as suite number. If the ZIP code table is set up, you can enter in the ZIP code, and the city, state, county, and country automatically display. The State field is a required field. If the State field is left blank on the People Maintenance window, the State field from the Add/Modify Practice Information window will default to that field. Canadian Provinces can also be added to the State field. See important information about practices with multiple-state locations at the end of this section.
Remit To Address/ City/ State/ Zip/ Country/ County	Enter address information to use for remittance on encounter bills, fee tickets, invoices, letters, and statements. If these Remit To address fields are blank, the practice address is used. Note: When statements are printed for a specific location, either the location address or location remittance address is used.
Phone Number	Enter the phone number. The area code default comes from General Preferences in the Practice Preferences.
Fax Number	Enter the fax number.
Sender Nbr	This Sender Number captures information required by the Blue Cross of Idaho clearinghouse for the BA0-07 record. Note: Because the application can create electronic send files for multiple practices at the same time, it is only possible to use this Blue Cross of Idaho clearinghouse sender number when creating a multi-practice electronic file for practices with the exact same sender numbers.
Tax ID Number	Enter the practice's tax ID number.
DME Provider Nbr	Enter your DME provider number if each practice in the enterprise has the same DME provider number for DMERC billing.
DME NPI	If a DME region is specific to one practice and you want the practice to use the same DME NPI for all DME regions, then open the practice master file, and then enter the NPI in the DME NPI field on the Practice Defaults tab. For example, you might perform this step when each practice uses a different DME region or when one practice uses the same DME NPI for all regions.
Enc Lock Interval	By default, NextGen® Enterprise EHR automatically locks encounters after 72 hours. To specify a different lock time, enter the number of hours in the Enc Lock Interval field. Note: This is legacy functionality that was previously set by a SQL Server® query. This practice-level setting overrides the enterprise-level Enc Lock Interval field on the Enterprise Preferences > General tab.
Practice Licensing	Under Product, the products that the practice is currently licensed to use are selected. Select any additional products that the practice is licensed to use. To select all items in the list, select the check box next to the heading Product. Note: If you have an unlimited license, you cannot clear these check boxes.
Locations	Select the Open Record button to select the service locations that you can assign to the practice. A check mark in the Schedulable list means the location displays in scheduling. You must select at least one location that is set to Display in Scheduling (in the Locations master file). See the section Locations for creating locations. Note: If a location was assigned to this practice in the Locations master file, it already displays in this list.
Note	Enter any additional information about the practice.
Preferences	Select to modify the Practice Preferences, which are practice-wide settings. This button only displays when you are modifying a practice.
