Modify a Group Appointment

You can modify a group appointment if needed. Any modifications made to a group appointment will automatically update the associated individual member appointments with the same changes. You can also manage whether other group appointments in a recurring series should be updated with the same information. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Select the group appointment. Select the individual appointment you want to update. Right-click and then select Open > Group Appointment. The Patient Group field cannot be modified on a group appointment. You can access the Patient Group window by selecting Open Menu and then selecting Open to view general information, members and future appointments for the group. Modify an Individual Appointment Created from a Group Appointment

You can modify an individual patient appointment that was created when a group appointment was scheduled. Any modifications made to an individual appointment does not update other patient appointments associated with the same group appointment. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Select the group appointment. Select the individual appointment you want to update. Right-click and then select Open > Appointment. The Edit Appointment window opens. The name of the Patient Group displays in brackets at the top of the window. Modify the appointment as needed. Select OK. If the appointment is part of a recurring series and you changed the Date, Time, Event, Duration, Resources, or Service Location, the appointment is removed from the recurring series. Recurring Group Appointments

When a group appointment is scheduled and saved, additional recurring appointments can be created using the same information from the original group appointment. For example, a patient group needs to be scheduled for counseling sessions on Wednesdays at 11:00 AM for the next several weeks. After scheduling a group appointment on the first Wednesday, additional recurring appointments can be created from that appointment for the following Wednesdays. Recurring group appointments can be scheduled daily, weekly, monthly or yearly. Cancel Group Appointments You can cancel a scheduled group appointment. If the group appointment you want to cancel is a recurring series, you can select and cancel the linked and unlinked member appointments individually. Scheduling Group Appointments

You can schedule a single appointment for patients within a patient group. For example, to schedule a counseling session for a patient group on Wednesday at 11:00 AM, you can schedule a single group appointment, rather than scheduling separate appointments for each patient for the same slot. When you schedule and save a group appointment, an individual appointment is created for each patient in the group, and all appointments are displayed in the same time slot in the appointment book. Each individual appointment has a unique appointment ID and a common Group appointment ID in the database. Note: Due to the nature of group appointments, conflicts related to overbooking do not apply when an appointment is scheduled. Additionally, you cannot use event chains at this time. You can also create group appointment shells and manage them. A group appointment shell is a group appointment with no associated member appointments. Cancel Group Appointments

When you cancel a group appointment, all associated individual member appointments are also automatically cancelled. A group appointment in a recurring series has a combination of linked and unlinked group appointments. You can determine the group appointment that needs to canceled. You can also cancel a group appointment shell which can be a part of recurring series or a non-recurring one. In NextGen® Enterprise PM, open the appointment book. From the Daily, Weekly List, Weekly Schedule, or Multi-View view, right-click an individual appointment that is scheduled as part of a group appointment, and then select Open > Group Appointment. The Edit Group Appointment window opens. Before you cancel a group appointment, clear any green check mark indicators against member appointments under the Associated Member Appointments section. Schedule Recurring Appointments from Existing Group Appointments

Open NextGen® Enterprise PM. From the main toolbar, select ApptBook. In the Daily, Weekly, Weekly Schedule, or Multi-View, right-click an individual appointment scheduled as part of a group appointment, and then select Open > Group Appointment. To create additional recurring group appointments with the same details, select the Make Recurring link. The Recurring Appointment window opens. In the Next Occurrence field, select the date for the next group appointment in the recurring series. Select End after [n] Occurrences or End on [mm/dd/yyyy]. Note: This option is selected by default with an end date of one year from the current appointment date. In Occurs, select Daily, Weekly, Monthly, or Yearly for the occurrence frequency, and then enter the corresponding details. Note: Daily is selected by default.
