Create a New Invoice

An invoice must be created for an employer account before you enter charges. Before an invoice can be created, the employer must exist in the Employers master file in File Maintenance, and the employer must have an existing Account Profile in NextGen® Enterprise PM. Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter the employer name in the Employer/Last Name field, and then clear the People Accounts check box. Select Find. The Account List window opens. Double-click the account. The Account Profile window opens. Select the Inv Summary tab. The Account Profile > Inv Summary tab shows the following information for the invoice. Invoice Nbr: Shows the system-assigned invoice number. Create Date: Shows the invoice create date. Final Date: Shows the invoice first billed date. Bill Date: Shows the invoice last billed date. Status: Shows the status of invoice (Unbilled, Billed, Rebill or History). Total Charges: Shows the total charges on the invoice. Payments

Add Charges to an Invoice

To add charges to an invoice, do the following: Note: After adding charges to an invoice, the charge status changes to Rebill from Billed. Open NextGen® Enterprise PM. Select the Account icon on the main toolbar. The Account Lookup window opens. Enter the employer name in the Employer/Last Name field, and then clear the People Accounts check box. Select Find. The employer displays in the Account List section. Double-click the account. The Account Profile window opens. Select the Inv Summary or Inv Detail tab. Select the invoice to add charges. Select the Open Menu button and select Charges. The Charge Posting window displays the following information: Account: Employer name Invoice: Invoice number and date Svc Dates: Invoice create date Select New to enter the first charge. Enter the following for each charge: Svc Dates: Service Dates default from the invoice create date and can be modified if needed. Svc Item: Enter the SIM code for the charge being entered. Modifiers: Enter up to 4 m

Billing Invoices

You can enter charges on an invoice and the invoice can be billed. Invoices do not go through the regular billing and claim edits process. They are billed when they are printed. An invoice has a status of Unbilled until it prints, then the status changes to Billed. If charges are added to a billed invoice, the invoice status changes to Rebill and the new charges have Unbilled status. You must print the invoice again to change the invoice status from Rebill to Billed and the charge status from Unbilled to Billed. Bill an Individual Invoice You can bill an individual invoice on the Demand Invoice window. Bill Batch Invoices You can bill batch invoices on the Practice Invoices window. Rebill an Invoice You can rebill an invoice if a charge is added or modified after the invoice was billed. Parent topic: Invoices

Rebill an Invoice

You can rebill an invoice for the following: When you enter an incorrect charge and modify it after the invoice was billed. When you add charges after the invoice was billed. When the payment is not received for a billed invoice. Note: An invoice in an Unbilled status cannot be rebilled. Only invoices in Billed or History status can be rebilled. Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter the employer name in the Employer/Last Name field, and then clear the People Accounts check box. Select Find. The employer displays in the Account List section. Double-click the account. The Account Profile window opens. Select the Inv Summary tab. Select the invoice to rebill. Select Open Menu , and then select Rebill. The invoice status changes from Billed to Rebill. Bill an Individual Invoice

To print and bill an individual invoice, do the following: Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. In the Employer/Last Name field, enter the employer name. Select Find. The employer displays in the Account List section. Double-click the account. The Account Profile window opens. Select the Inv Summary tab. Select the invoice to be billed. Select Open Menu > Print > Invoice. The Demand Invoice window opens. Review the default Invoice Options and make modifications, if needed. Note: The default settings are selected in Practice Preferences > Invoices. The defaults for Minimum Invoice Amount and Include Invoices of Status do not apply when printing an individual invoice. To preview the invoice, select Preview. To print the invoice, select Print. When the Update Invoice Dates and Billing Status check box is selected, a message appears that all [n] invoices are printed correctly.
