Batch Posting for ERA

Column	Description
Unnamed	Displays an icon to indicate whether a batch is active or inactive . Transaction activity is recorded in the active batch.
BBP	Displays a green check mark to indicate that the batch has been flagged and will be automatically posted by the NextGen® Background Business Processor once it has been balanced.
Date	Displays the date when the ERA batch was created.
ID	Displays batch ID. The first batch of the day is assigned the ID 0001. Additional batches you create the same day are assigned sequential ID numbers (0002, 0003). The numbers restart at 0001 every day.
Description	Displays the batch name. You can edit the description in the Batch Maintenance window.
Members	Displays the number of transactions (payments and adjustments) in the Posted section of the ERA Import Posting report. Transactions that have not been posted are not included in this count.
Status	Displays one of the following status: Out of Balance indicates that the batch is not ready to be posted because the batch header Total Billed, Total Allowed, Total Paid and Total Adjusted does not match the totals in the batch ledger. Balanced indicates the batch header has been reconciled with the batch ledger and the batch is ready to be posted manually or by NextGen® Background Business Processor. Note: You can enable the Automatically balance batch when an ERA is imported with no errors option in the Remittance Profile Library to automatically balance ERA batches that are imported with no errors. When the option is set to Auto Balance, the ERA batch header is automatically balanced to the batch ledger in NextGen® Enterprise PM. The Status column shows Balanced for any batches that have been auto-balanced.
Total Paid	Displays the Total Paid amount from the batch header.
Total Adjusted	Displays the Total Adjusted amount from the batch header.
Ledger Payment	Displays the Payment total listed from the batch ledger.
Ledger Adjustments	Displays the Adjustment total listed from the batch ledger.
Secured To	Indicates the user that the batch is secured to. Only the user who appears here can access transactions from the batch. If the column is blank, the batch has not been secured to a user and a user (with security rights) can access transactions from the batch.

Balance the Batch Header Record

After entering all the transactions, you must balance the batch header record before posting the batch to the accounts receivable record. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select a batch, select the open menu icon, and then select Ledger. The Transaction Ledger window opens. Select Header. The Batch Maintenance window opens. Compare the amount in Total Billed, Total Allowed, and Total Paid of the Batch Maintenance window to the Transaction Ledger window. If the amounts do not match, change the amounts as necessary. CAUTION: Every batch item entered will have a corresponding billed amount is entered. If you have a charge of $25.00 and you receive two separate checks to apply to the charge, the charge shows on the ledger twice. The billed amount for the two checks is $50.00, not $25.00. Posting Transactions Overview

In NextGen® Enterprise PM, a payment is considered posted only if has gone through the posting process. You can add or modify payments for an encounter only until it is posted. The posting process is a way of telling the application that everything has been done correctly and is ready to be committed to the system. Payment posting could be manual in paper format as Explanation of Benefits (EOB) or electronically as Electronic Remittance Advice (ERA). In NextGen® Enterprise PM, there are two sources for transactions, patients or payers. Payments may come from primary, secondary or tertiary payers. Transaction Posting Process You can create a batch to enter relevant information for payments and posting the payments. Select an Active Batch You can use the Batch Posting widow to set a batch as an active batch. Managing Batches

In NextGen® Enterprise PM, batches are sets of payment, adjustment, and refund transactions. You can create batches for each location, each day, or for each practice. For example, a batch can be created for a check-in staff to record all the transactions for the day. You can secure a batch or an enterprise batch grouping to a single user for security purposes. Any user without the appropriate security rights cannot access the transactions in the batch. You can also choose to remove an entire enterprise batch grouping from the list if none of the sub-batches are secured to the current user. You can use the Batch Maintenance window to manage batches for a given practice. Batch Status You can use the batch status for payment batches to denote the flow of line item balance. Auto Balanced Batch Column on the ERA Import Posting Report

If you set the Automatically balance batch when an ERA is imported with no errors option in the Remittance Profile Library to either Auto Balance or Auto Balance and flag for BBP, then the Auto Balanced Batch column on the ERA Import Posting report displays one of the following: Y indicates no errors were encountered during the import and the batch was auto-balanced. N indicates errors were encountered during the import and the batch was not auto-balanced. If the option is not enabled or is blank (default), then the column displays N/A on the report for all batches. Some clearinghouses may use the same ERA payer number for all payers. In this case, if an 835 ERA file contains a single check with multiple payers and some payers use a Remittance Profile library with the Automatically balance batch when an ERA is imported with no errors option enabled and other payers use a profile with the option disabled, then the Auto Balanced Batch column on the ERA Import Posting report will display
