Post Transactions in the Batch Header

In NextGen Healthcare, posting a transaction permanently records the transaction and cannot be modified or deleted. You must use a correcting transaction to reverse any transaction posted in error. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select the batch header to post. Select open menu , and then select Post. A message appears asking for a confirmation to post the batch and its associated transactions. Select OK. The Batch Listing report preview opens, and a message appears confirming the successful posting of the batch. Select OK. To review all the transactions in the batch, select on the Batch Listing report menu. A message appears stating that the printing of the report is in progress. Note: You cannot print the Batch Listing report after the posting process is completed. Enter a Transaction for an Account

Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Double-click the batch header record. The Payment Entry window opens. In Source/Acct, select Account. In Account, enter the first few letters of the account name or select Account Lookup . Account records matching the search criteria appear in the Account list. Note: A status indicator for the data retrieval appears for an account with more than 100 line items. Large Account mode activates when more than 1000 items are retrieved and displayed. For more information on the number of line items displayed in the Large Account mode or modifying the number of line-items, contact NextGen Healthcare Support. Double-click the desired account. In Pay Amt, enter the payment amount. NextGen Healthcare displays Account Payment as the pay code. If necessary, enter an adjustment amount in the Adj Amt field. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select a batch, select open menu , and then select Ledger. The Transaction Ledger window opens. Select Header. The Batch Maintenance window opens. Compare the Total Billed, Total Allowed, Total Paid, and Total Adjusted amounts in the Batch Maintenance window to those in the Transaction Ledger window. If the amounts do not match, change the amounts as necessary. Batch Maintenance Window CAUTION: Every batch item entered has a corresponding billed amount. If you have a charge of $25.00 and you receive two separate checks to apply to the charge, the charge appears on the ledger twice. The billed amount for the two checks is $50.00, not $25.00. Verify that the number of payments match the payments on the ledger. Do not include adjustments. Note: The Payments, Sub Batches, and Members details appear only if Enable Batch Groups is selected on the General tab on the Practice Preferences window.

On the main toolbar, select Posting . The Batch Posting window opens. Select a batch, select the open menu icon, and then select Ledger. The Transaction Ledger window opens. Select Header. The Batch Maintenance window opens. Compare the amount in Total Billed, Total Allowed, and Total Paid of the Batch Maintenance window to the Transaction Ledger window. Create a Sub-Batch for a Batch Header

Open NextGen® Enterprise PM. On the main toolbar, select Posting Posting Button. The Batch Posting window opens. In the Batch Posting window, do the following: Select open menu , and then select New > Batch. Select Header to open an existing header record. The Batch Maintenance window opens. Enter the desired information, and then select Sub Batches. Enter information for each sub-batch header. You can secure each sub-batch to a specific user. You can also use the security for an administrator to have access to all sub-batches. In System Administrator, you can grant Access to Secured Transaction Batches to the administrator. Managing Batches

In NextGen® Enterprise PM, batches are sets of payment, adjustment, and refund transactions. You can create batches for each location, each day, or for each practice. For example, a batch can be created for a check-in staff to record all the transactions for the day. You can secure a batch or an enterprise batch grouping to a single user for security purposes. Any user without the appropriate security rights cannot access the transactions in the batch. You can also choose to remove an entire enterprise batch grouping from the list if none of the sub-batches are secured to the current user. You can use the Batch Maintenance window to manage batches for a given practice. Batch Status You can use the batch status for payment batches to denote the flow of line item balance. Determining the Active Batch You can only post transactions to a batch marked as active on the Batch Posting window.
