Add Insurance to Appointments

You can add one or more insurances to an appointment for billing in the Appointment Insurance Selection window. You can also access the Insurance Maintenance window for adding insurance. A pushpin button appears in columns when data exists for the category. You can view existing data for a category by hovering over the pushpin icon in the Card column to view the Last Card Attached Date or select the pushpin icon to access the Insurance Maintenance > Ins Cards tab.

  1. Open NextGen® Enterprise PM.
  2. Select Appt List.
    The Appointment Lookup window opens.
  3. In Search Criteria, enter the patient's information, and then select Find.
    Appointment records appear in the Appointment List.
  4. Double-click to open the appointment.
    The Edit Appointment window opens.
  5. Enter the details, and then select Ins/Diag.
  6. Right-click Appointment Insurance, and then select New Insurance.
    The Appointment Insurance Selection window opens.
  7. Select the blue arrow button to move the insurance from Insurance Listing to Selected Insurance. If there is more than one insurance available, attach them to the appointment in the following order:
    1. Primary
    2. Secondary
    3. Tertiary
      The selected insurance displays under Selected Insurance. The display order in Selected Insurance is the order used for billing.
  8. Select the menu button , and then select one of the following options to add or modify information:
    • Open Patient Information: Select Patient to access the Modify Insured Information window for the patient.
    • Open Relation Information: Select the relative information to access the Modify Insured Information window for the relation.
    • Open Insurance Information: Select an insurance to access the Insurance Maintenance window.
    • Authorization: Select an insurance to access the Authorization Listing window.
    • Referral: Select an insurance to access the Referral Listing window.
    • New Relation: Select Patient to access the Relationship Lookup window. A new relationship is an additional person related to the patient.
    • New Insurance: Select Patient or a relation to access the Payer Lookup window.
  9. Select OK.
