Add Insurance to Encounters

You can use the Encounter Insurance Selection window to add one or more insurances to an encounter for billing or to access the Insurance Maintenance window for an insurance. A pushpin appears in columns when data exists for the category. To quickly view existing data for a category, you can hover over the pushpin icon, or select the pushpin icon to access the specific tab on the Insurance Maintenance window. For example, hover over the pushpin icon in the Card column to view the Last Card Attached Date or select the pushpin icon to access the Insurance Maintenance > Ins Cards tab.

  1. Open NextGen® Enterprise PM.
  2. On the main toolbar, select Chart or Chart Lookup. .
    The Patient Lookup window opens.
  3. In the Search Criteria section, enter the patient's information, and select Find.
    Patient records that match the search criteria, appear in the Matching Records section.
  4. Select the patient, and then select Open.
    The Patient Chart window opens.
  5. Select Encounters, and then select on the Insurance tab under it.
  6. Right-click the encounter in the Encounters section, and select Add Insurance.

  7. Use the blue arrow button to move the insurance from the Insurance Listing section on the left to the Selected Insurance section on the right. If there is more than one insurance available, attach them to the encounter in the following order:
    1. Primary
    2. Secondary
    3. Tertiary
      The selected insurance displays under the Selected Insurancesection. The display order in the Selected Insurance section is the order used for billing.
  8. Select the open menu button on the left to select one of the following options to add or modify information:
    1. Open Patient Information: Select Patient to access the Modify Insured Information window for the patient.
    2. Open Relation Information: Select a person to which the patient has a relationship to access the Modify Insured Information window for the relation.
    3. Open Insurance Information: Select an insurance to access the Insurance Maintenance window.
    4. Authorization: Select an insurance to access the Authorization Listing window.
    5. Referral: Select an insurance to access the Referral Listing window.
    6. New Relation: Select Patient to access the Relationship Lookup window. A new relationship is an additional person related to the patient.
    7. New Insurance: Select Patient or a relation to access the Payer Lookup window.
    8. CMN: Select an insurance to access the Certificates of Medical Necessity Information window.

  9. Select OK.
    If the primary insurance requires a co-pay, an alert message displays stating that the payer requires a co-payment.
    After you attach insurance to a patient, you can access the Insurance Maintenance window.
