Create a Quick Group Encounter for Kept Members

You can create a quick group encounter for the Kept members on the Group Checkin/Create Encounter window from the Appointment Book. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Checkin/Create Encounter > Group Appointment > Select Members.The Group Checkin/Create Encounter window opens. On the Group Checkin/Create Encounter window, check whether the appropriate individual member appointments are selected. Select Add Group Enc..The Add Group Encounter window opens. The details of a group appointment are filled in the Patient Group, Billable Date, Billable Time, and Service Location fields and cannot be modified. Mark Individual Member Appointment as Kept on Group Checkin Window

When a patient arrives for a group appointment, you can mark their individual member appointments as Kept from the Group Checkin/Create Encounter window. This enables you to open a single group appointment and mark the arrived members as kept rather than opening individual appointment and marking them. The kept indicator helps you to distinguish between members who have arrived and group member who have not arrived. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Checkin/Create Encounter > Group Appointment > Select Members. The Group Checkin/Create Encounter window opens. You can create a group encounter for all the patients in a group appointment. The group encounter will be created for the members in a patient group. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule, or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Checkin/Create Encounter > Group Appointment > All Scheduled Members.The Add Group Encounter window opens. Note: This option is not available if a group encounter already exists for the group appointment. The Patient Group, Billable Date, Billable Time, and Service Location fields are populated from the details of the group appointment and cannot be modified. You can add a group member to an existing group encounter during the group check in. If a group encounter was already created for the checked in members, and if another patient arrives for the appointment, you can add those patients to the existing group encounter. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Checkin/Add to Existing > Group Appointment > Select Members. The Group Checkin/Add to Existing Group Encounter window opens. On the Group Checkin/Add to Existing Group Encounter window, select the scheduled member to be added to the group encounter. Select Add to Existing. An individual encounter is created for the selected Scheduled Member and linked to the member’s appointment. Quick Check In of Group Appointment

Using the group check in option on the right-click menu of the Appointment Book, you can mark arrived members as Kept and create a group encounter in short time. You can check in the group appointment for: All scheduled members Arrived members You can associate the existing group encounter to the individual member and the scheduled members through group check in option from the right-click menu on Appointment Book. Add a Member to an Existing Group Encounter

You can add a member to an existing group encounter if needed. For example, a group encounter was already created from a group appointment for all patients that were marked as kept, and then another patient arrives for the appointment. You can add that patient to the existing group encounter. Access the Appointment Book. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. In the Associated Member Appointments section on the right, select to select the appointment for the member to be added to the group encounter. Select Open Menu and then select Add to Existing Group Enc. An individual encounter is created for the member, the encounter is linked to the member's appointment, and the encounter number appears in the Associated Member Appointments section of the Edit Group Appointment window.
