Set Up AutoFlow Practice Preferences

In File Maintenance, select Master Files > System > Practices. Double click on a practice to open Modify Practice Information window. Select Preferences, and then select AutoFlow in Practice Preferences. To apply an autoflow Sequence for check-in or when a user creates an encounter, do one of the following in AutoFlow Sequences for menu option "Check-in/Create Encounter" section: For all locations, select a sequence in the <All Locations> row. For a specific location, select a sequence in the location's row. To apply an AutoFlow Sequence for check-out, repeat the previous step in AutoFlow Sequences for menu option "Checkout" section. AutoFlow Practice Preferences

The AutoFlow Practice Preferences enable you to select an Autoflow Sequences Master File that contains a series of actions for processing encounters during check-in and check-out processes. You can apply a sequence to all locations or to individual ones. You can also set default user preferences for autoflow that override these practice-level settings. To assign AutoFlow Sequences, do the following: Open the AutoFlow Practice Preferences: Master Files > System > Practices > Preferences > AutoFlow. Encounter Insurance Selection Window

The window also provides you with a pushpin icon to indicate that data exists for a category and provides you with easy access to the Insurance Maintenance window. Also, you can perform the following actions: Access a right-click menu with options for sizing columns and selecting columns to display on the window. Select the pushpin icon to access the Insurance Maintenance window and view, add, or modify information to the category. Hover over the column header to view information such as patient name, DOB, effective date, expiration date, encounters remaining, and status. Select on a column to access the corresponding tab on the Insurance Maintenance window. For example, if a pushpin icon is not present in the Card column, a select in the column will take you directly to the Ins Cards tab of the Insurance Maintenance window. Run Autoflow from an Encounter

Before you begin Ensure that the Estimate Patient Cost item is included in the autoflow. You can run the autoflow for an encounter during check-in and/or check-out process for a person or patient. Open NextGen® Enterprise PM and do one of the following: Select Encounter on the toolbar. Select Tasks > Lookup > Encounters. The Encounter Lookup window opens. Use the search criteria and select Find. The encounters that match the search criteria display under Encounter List. From the Encounter List, right-click on an encounter and do one of the following: Select Checkin from the menu to start the check-in. Select Checkout from the menu to start the check-out. The first window configured in the autoflow opens. Select AutoFlow to open the next window in the sequence. Continue with the autoflow until the Estimate Patient Cost window opens. Create an Encounter from an Appointment Create an Encounter from an Appointment If a patient has appointment and services performed by a provider in the practice, you must create an encounter from the appointment during the check-in process. Open NextGen® Enterprise PM. From Appointment Book, select the appointment. Right-click an appointment and select Checkin/Create Encounter. The Add Patient Information window opens. If the patient does not have a chart, update necessary information in the Add Patient Information window, and then select Chart to create the patient's chart. The Create Encounter window opens. Select a program for the encounter. Enter all the mandatory information marked in red to complete the patient's encounter. Note: In Practice Preferences > Case Management, if the Allow encounter payers to differ when case is attached preference is selected, you can link a case to an appointment even if the insurance on the appointment differs from the insurance on the case.
