Upload an APC Statement Export File to NextGen EDI

Auto Pay Collections (APC) is available when using InstaMed to process patient credit card payments in NextGen® Enterprise PM. Individual accounts are setup for APC on the Credit Card section on the File tab of the Account Profile.

  1. From the File menu, select Print Forms, and then Statements.
    The Statement Options window opens.

  2. Review the default Statement Options and make modifications, if needed.
  3. Select the Update Last Statement Dates check box.
  4. Select the Upload APC File to NextGen EDI check box.
  5. To create the export file to be sent to NextGen EDI, select Export.
    The Save As window opens.
  6. Browse to select the desired directory folder and enter a name for the export file, and then select Save.
    The export file is created.

    If the Update Last Statements Dates check box was selected, the following prompt displays: Did the statements export correctly?

  7. To continue, select Yes.
    If the Upload Export File to NextGen EDI check box was selected, the file is uploaded and one of the following occurs:
    • A message displays indicating the file was uploaded and received by NextGen EDI: APC Statement Upload to NextGenEDI Successful; [File Name]; [File Size].
    • A message displays indicating the file was not uploaded to NextGen EDI due to invalid login credentials in Practice Preferences.
    • A message displays indicating the file was not uploaded to NextGen EDI due to a connectivity issue.
  8. To continue, select OK.
    If the export file uploaded to NextGen EDI successfully, the following occurs:
    • The Last Statement Print Date, Next Statement Print Date and Statement Counter are updated on the Account Profile > Properties tab.
    • A Statements Exported significant event is recorded in the Account Profile > Notes > History folder.
    • A copy of the statement is archived in the Account Profile > Notes tab > Statements folder.

    The Statement Run report displays on the screen.

    If the EDI Upload column is added to the report, the column displays one of the following for each account:

    • Y: Statement was uploaded to NextGen EDI.
    • N: Statement was not uploaded to NextGen EDI.
    • Blank: The Upload Export File to NextGenEDI check box was not selected when the statement was generated.
