Upload a Letter Export File to NextGen EDI
For detailed information on generating Appointment Reminder and Recall Letters, go to the NextGen Healthcare Success Community and download the Appointment Scheduling Guide for NextGen® Enterprise PM . For information on generating Account Collection, Encounter Collection and Budget Letters, download the Billing and Collections Guide for NextGen® Enterprise PM .
- Do one of the following:
- To export batch Appointment Reminder letters, select the File menu and select Print Forms, then Letters, and then Appt Reminders.
The Appointment Reminders window opens.
- To export batch Recall letters, select the File menu and select Print Forms, then Letters, and then Recall Letters.
The Recall Letters window opens.
- To export an individual Encounter Collection letter, access the Patient Chart, select the Encounters tab and select the encounter, and then select the Letters button on the main toolbar.
The Demand Letters for [Name] window opens.
- To export batch Encounter Collection letters, from the File menu, select Print Forms, then Letters, and then Encounter Collection Letters.
The Batch Encounter Collection Letters window opens.
- To export an individual Account Collection letter, access the Account Profile and then select the Letters button on the main toolbar.
The Demand Letters for [Name] window opens.
- To export batch Account Collection letters, select the File menu and select Print Forms, then Letters, and then Account Collection Letters.
The Batch Account Collection Letters window opens.
- To export batch Budget letters, from the File menu, select Print Forms, then Letters, and then Budget Letters.
The Budget Letters window opens.
- To export batch Appointment Reminder letters, select the File menu and select Print Forms, then Letters, and then Appt Reminders.
- Do one of the following:
- For individual letters, select the desired letter.
- For batch letters, enter Search Criteria, then select Find, and then select the desired accounts or patients.
- Select the Update Letter Dates check box. (Batch account collection, encounter collection and budget letters only).
- Select the Upload Export File to NextGen EDI check box.
- To create the export file to be sent to NextGen EDI, select Export.
The Save As window opens.
- Browse to select the desired directory folder and enter a name for the export file, and then select Save.
The export file is created.If the Upload Export File to NextGen EDI check box was selected, the file is uploaded and one of the following occurs:
- A message displays indicating the file was uploaded and received by NextGen EDI: Upload to NextGenEDI Successful; [File Name]; [File Size].
- A message displays indicating the file was not uploaded to NextGen EDI due to invalid login credentials in Practice Preferences.
- A message displays indicating the file was not uploaded to NextGen EDI due to a connectivity issue.
- To continue, select OK.
The following prompt displays: Did the letter(s) export correctly?
- To continue, select Yes.
If the export file uploaded to NextGen EDI successfully, the following occurs for Account Collection and Budget letters:
- A Letters Exported significant event is recorded in the History folder on the Notes tab of the Account Profile.
- A copy of the letter is archived in the Account Profile > Notes tab > Letters folder.
The following occurs for Appointment Reminder, Recall and Encounter Collection letters:- A Letters Exported significant event is recorded in the Patient Chart > Clinical History/Notes tab > History folder.
- A copy of the letter is archived in the Patient Chart > Clinical History/Notes tab > Letters folder.
