Statement Messages Master File

The Statement Messages master file is used to create the various individual dunning messages that print on detail statements for an outstanding insurance balance on a charge line item. When you create individual dunning messages, they are grouped together in Statement Library based on the age of the outstanding insurance balance or based on the statement counter (the number of statements sent) for the outstanding insurance balance. Libraries are then linked to a financial class in the Statement Parameter Mappings master file. Add or Modify Statement Messages You can add a statement message in the Statement Message List window and you can modify the existing statement messages in the Modify Statement Message window. Statement Library

The Statement library is used to group individual statement messages together based on the age of the outstanding insurance balance or based on the statement counter (the number of statements sent) for the outstanding insurance balance. Libraries can be created for a specific financial class, or a specific payer. When you create libraries, they are linked to financial classes in the Statement Parameter Mappings master file. Add or Modify a Statement Library You can add or modify a statement library on the Statement Library window. Statement Parameter Mappings Master File

The Statement Parameter Mappings master file is used to link Statement libraries to a financial class based on whether payers in the financial class are primary, secondary or tertiary on encounters. Add or Modify Statement Parameter Mappings

Open File Maintenance. Select Master Files > Practice > Statement Parameter Mappings. The Statement Parameter Mappings List window opens. Do one of the following: To add new mappings, select Open Menu and then select New. To modify existing mappings, select the item in the list. Select Open Menu, and then select Open. The Map Statement Parameters window opens. In the Financial Class field field, select a financial class for one or more linked Statement Libraries. This field is required. Note: If you select a self-pay financial class, then you can only select a single library as there are no secondary or tertiary payers on self-pay encounters. In the When Primary field, select the primary Statement Library. This field is required. In the When Secondary field, select the secondary Statement Library. In the When Tertiary field, select the tertiary Statement Library. In the Note field, enter any additional information for the mappings. The note does not print on statements. To save changes

Setting Up Statement Messages

Statement Messages involve the following set up in File Maintenance. Create individual messages in the Statement Messages master file. Create Statement libraries to group individual messages together based on either aging or statement counter. Link primary, secondary and tertiary libraries to a specific financial class in the Statement Parameter Mappings master file. Link primary, secondary and tertiary libraries to a specific payer in the Payers master file. Link Statements Libraries to a Payer

The Payers master file is used when one or more payer specific Statement libraries is created. Payer specific libraries are linked to the payer and will override the libraries defined in the Statement Parameter Mappings master file for the financial class to which the payer is assigned. Open File Maintenance. Select System Master Files, then PM, and then Payers. The Payers List window opens. Select and open the desired Payer. The Modify Payer Information window opens. Select the Practice tab, and then the Libraries sub-tab. In the Statement Library section, select the library for primary, secondary, or tertiary encounters.
