Remove Claims from an Encounter to be Deleted
Claims created for an encounter must be deleted before the encounter can be deleted.
Access the
Patient Chart
.
Select the
Encounters
tab, and then the
General
sub-tab.
From the
Encounters
list, select the encounter to be deleted.
Right-click and select
Claims
from the menu.
The
Encounter Claim Requests
window opens.
Select a claim to be deleted.
Right-click and select
Delete
from the menu.
A prompt appears asking if you want to delete this claim and all associated claim requests.
To delete the claim, select
Yes
.
The claim is deleted from the encounter.
Repeat steps 5-7 to delete additional claims.
To close the
Encounter Claim Requests
window, select
Close
.

Remove Encounter Diagnoses from an Encounter to be Deleted
Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. In the ICD-CM section, select the Open Record button. The Diagnosis Selection window appears. From the Selected ICD-CM Codes section, select a diagnosis code to be deleted. Select the blue left arrow button to remove the code from the encounter. A prompt appears asking to confirm the removal of this diagnosis. To remove the code, select OK. One of the following occurs: If the diagnosis code is not associated with charges, it is removed from the encounter. If the diagnosis code is associated with a charge, then a prompt appears stating that this diagnosis code is used on a charge and that it cannot be removed. Delete an Encounter
Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. From the Encounters list, select the encounter to be deleted. Select the open menu button and select Delete. A prompt appears asking to confirm the deletion of the encounter. To delete the encounter, select OK. One of the following occurs: If the encounter never had diagnosis or charge activity, it is deleted in both NextGen® Enterprise PM and NextGen® Enterprise. If the encounter has claims associated with it, a prompt appears stating that this encounter has associated claims and that they must be deleted before you can delete the encounter. If the encounter has charges associated with it, a prompt appears stating that there are charges associated with this encounter and that the encounter cannot be deleted. If the encounter has encounter-level diagnosis codes associated with it, a prompt appears stating that there are diagnoses associated with this encounter and that the encounter cannot be deleted. If

Remove Payers from an Encounter to be Deleted
Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. From the Encounters list, select the encounter to be deleted. Select the Insurance sub-tab. In the Encounter Insurance section, select a payer to be removed. Right-click and select Delete from the menu. A prompt appears asking to confirm the removal of encounter insurance. To remove the payer, select OK. One of the following occurs: If the payer is not associated with charges or claims, it is removed from the encounter. If the payer is associated with charges, the following prompt appears stating that there is a dollar amount in balance control bucket [n] and that the balance control must be updated before this payer can be deleted. If the payer is associated with claims, then a prompt appears asking if you are sure about removing insurance as the insurance is still attached to claims. Remove Charges from an Encounter to be Deleted
You cannot delete encounters with processed charges or with charges with posted transactions. Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. From the Encounters list, select the encounter to be deleted. Right-click and select Charges from the menu. The Charge Posting window opens. From the ledger section of the window, select a charge to be deleted. Select the Delete button. A prompt appears asking to confirm if you want to delete this charge. To delete the charge, select OK. Remove Encounter to be Deleted from an Appointment
Access the Patient Chart. Select the Clinical History/Notes tab. From the Topics list on the left, select Appointments. From the Details section on the right, select the appointment linked to the encounter to be deleted. Right-click and select Open from the menu. The Edit Appointment window appears. On the right side of the Encounter Number and Date fields, select the Open Menu button and select Clear Encounter. A prompt appears asking to confirm if you want to delete the encounter link to the appointment. To remove the encounter, select OK. To save changes and close the window, select OK. Reset Appointment Status from Kept to Expected
For example, if the reason for removing the encounter was because the appointment was checked-in in error, the appointment should have a status of Expected, not Kept. If the appointment status is not reset, the appointment continues to appear on the Kept Appointments with No Charges report. Access the Patient Chart. Select the Clinical History/Notes tab. From the Topics list on the left, select Appointments. From the Details section on the right, select the appointment whose status is to be changed. Right-click and select Open from the menu. The Edit Appointment window appears. Clear or uncheck, the Appointment Kept check box. To save changes and close the window, select OK. The appointment status changes from Kept to Expected.
