Recall Letters

Recall letters are the mechanism used in NextGen® Enterprise PM to remind patients with an active recall plan that they are due to return to the practice for a particular type of appointment. The frequency of letters is determined by the setup in File Maintenance. Letters are created in the Letters master file for each practice. The letters are then linked to specific recalls in the Recall Plans master file. You can print a single recall letter for an individual patient on demand, or you can print multiple letters in a batch for all patients that qualify for a letter. Note: Recall letters can be created in File Maintenance in multiple languages and then printed in NextGen® Enterprise PM based on the Correspondence Language selected in the patient's demographics. Recall Plan Significant Events

Significant Events for recall plans are enabled or disabled from the Admin > Preferences > Significant Events menu in NextGen® Enterprise PM. When enabled, a message is recorded in the Patient Chart > Clinical History/Notes tab > History topic when the event occurs. Significant Events for Recall Plans include the following: Recall Notification Sent To Home Address Recall Notification Sent To Patient Portal And Home Address Recall Notification Voice Reminder Sent Recall Plan Added Recall Plan Stopped Recall Plan Updated Recall Print Date Reset The Recall Notification Sent To significant events create a record in the patient’s chart when a recall letter is printed/exported. Patient Recall Report

The Patient Recall report displays patients that have one or more recall plans in NextGen® Enterprise PM. The report includes detailed plan information including letter dates, appointment dates and basic demographics information. This report can be used to monitor the effectiveness of recall plans in ensuring patients schedule their return visits. It can also aid in determining if there are recall plans that need to be stopped manually, in cases where no auto discontinue options were selected in the setup of the plan in File Maintenance. Data on the report can be filtered using options available on the Report Filter window: Filter 1 options include the 1st/2nd/3rd Letter Sent dates, Expected Return dates, including Active and/or Inactive Plans, and including or excluding Expired Patients. This filter also includes the first, second, and third dates when the messages were sent to the patient using NextGen® EDI services. Recall Plans

In cases where a patient requires a future follow-up appointment and that appointment cannot be scheduled now, a Recall Plan can be entered for the patient instead. For example, a patient that was seen by a provider today to have a specific test performed may need to return next year to have the test performed again. Recalls are used in NextGen® Enterprise PM as a mechanism of sending one or more letters to the patient reminding them that they are due to return to the practice for a particular type of appointment. Recall Plans are set up in File Maintenance > PM Practice Master Files. The set up for each recall plan defines the number of days within which patients are expected to return. The return event, resource and location can be defined for each recall plan, as well as the number and frequency of reminder letters to be sent to patients.
