Managing Accounts

An account guarantor is a person or business responsible for the charges remaining in a patient's account after all the parties have paid their share. An account guarantor can be one of the following: Patient Family member Person whose insurance is being billed Employer An account is a financial summary of the patient's guarantor. A guarantor can have only one account but can be associated with multiple patients for financial responsibility. Accounts can be person accounts or employer accounts with a unique account number. Charges on a guarantor's account is a sum of all the charges on the encounters for all the patients. A patient can have multiple encounters, each associated with a different guarantor account. Person Accounts Overview A person account is created to generate statements or invoice bill for the person's account that include encounters with outstanding self-pay balances. Invoices

In NextGen® Enterprise PM Invoices enables an employer account to bill for performed services. Invoices do not go through the regular billing and claim edits process. They are billed when they are printed. Note: Patient charts and encounters are not created for invoice charges in NextGen® Enterprise PM or NextGen® Enterprise EHR. A text description to identify the patient is entered on each invoice charge. It is desired to have a record in the patient chart with clinical and billing documentation on an encounter. You should avoid using invoice, instead create a chart and an encounter for each patient. You can select the employer as the guarantor on each patient’s encounter to generate a statement for the employer instead of an invoice. Create a New Invoice An invoice must be created for an employer account before charges can be entered. You can also generate statements for the employer’s account that include encounters with outstanding self-pay balances. A guarantor can have only one account applicable for one or more patients, each with one or more encounters. For example, an employer is a guarantor on several encounters for the employees who are seen for pre-employment physicals or drug screens. An employer account can also be manually created for an employer that billed by invoice. For example, the practice may participate in a flu shot clinic conducted at an employer’s facility and that employer is billed by invoice for the flu injections provided to their employees. NextGen® Enterprise PM assigns each account a unique account number that you can find on the employer's Account Profile window. Creating Employer Accounts

An Employer Account is automatically created when the employer is selected as the guarantor on a patient’s encounter for the first time. If needed, you can manually create an account for an employer before selecting the employer as the guarantor on a patient’s encounter. In NextGen® Enterprise PM, you can create an employer account from the Employer Lookup and Account Lookup windows. Note: To create an employer account, you must first create the employer in the Employers master file in File Maintenance for statement or invoice billing. Creating Person Accounts

A person account is automatically created when a person is selected as the guarantor on a patient’s encounter for the first time. If needed, you can also manually create an account for a person before selecting that person as the guarantor on a patient’s encounter. You can create a person account from the People Lookup and Patient Lookup windows. Note: To create a person account, the person must have an existing demographic record, or a new demographic must be created. Create Person Accounts from People Lookup You can create a person account using the People Lookup window.
