Collections

The Billing & Collections tab on the Encounter Maintenance window includes specific fields that are used for follow-up and collection purposes. On the Billing & Collections tab, you can do the following: Enter an encounter follow-up date Send an encounter collection letter Add or modify encounter notes Collection Letters Collection letter helps in collecting delinquent balances in NextGen® Enterprise PM. Budget Plans A budget plan is a financial arrangement made between the practice and an account guarantor. Use the Collections Follow Up Report

The Collections Follow Up report track encounters on the Billing & Collections tab of the Encounter Maintenance window. The report has drill-down functionality with direct access to encounters in patient charts. If the Follow Up Date on an encounter is changed or removed, the patient is crossed-out on the report indicating the encounter has already been reviewed. Open NextGen® Enterprise PM. From the Reports menu, select Accounts Receivable. Select Collections, and then select Collections Follow Up. The NextGen Report Filter window opens. Select Columns, and then select the desired columns to be included in the report. Select Filter 1, and then select the desired Follow Up Date range for the report. Select Filters, and then select any additional data that you want to generate on the report. Select Sorting, and then sort and group encounters by the Follow Up Date. Collections Follow-Up Report

This is an encounter level report that you can use as a collection work list. For an encounter to appear on this report, you must go to the Collections tab of the Encounter Maintenance window, and then select the Follow-Up check box and enter a Follow-Up Date. The special feature of this report is that if the follow-up date is changed, the report on screen displays the patient's encounter with a strike-through, or "crossed off", indicating the encounter has been worked. The report has "drill-down" functionality that enables you to double-click on a record to access the Encounter Maintenance window directly from the report. This report can also be run to include Rendering Providers. For information on running this report based on Rendering Providers, refer to Other Reporting Filters in this section. Managing Account Encounters Details

The Encounters Detail tab of the Account Profile window contains a list of all the encounters associated with a particular account. You can do the following on the Encounters Detail tab. View totals for accounts including the balance owed. View the total adjustments and charges for each of the patients. Filter encounters according to your preference. Pre-list encounters for sending to a collection agency and assigning a bad debt status. Reinstate encounters that have been previously pre-listed. Account Encounters Detail tab A folder appears for each patient under this guarantor. You can do the following to see more information for a selected encounter: Double-click the encounter to view the details of the encounter. Right-click in the first row of the Guarantor Information section to select the columns to display in the Guarantor Information section of the window. Add a Collection Letter to an Encounter

To add a collection letter to an encounter, do the following: Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter search criteria to locate the desired patient. Select Find. All existing persons and patients that match the search criteria are displayed in the Matching Records section. In the Matching Records list, double-click the patient. The Patient Chart window opens. Select the Encounters tab. In the Encounters list, open the encounter. The Encounter Maintenance window opens. Select the Billing & Collections tab. In the Collection Letter field, select a letter. The Send Collection Letter check box is automatically selected. This qualifies the letter to be included in the next batch of Encounter Collection Letters. To save changes and close the window, select OK.
