Following Up on Encounters

This section provides information on how to flag encounters for collections follow up. Encounter Maintenance Billing & Collections Tab You can enter an encounter follow up date on the Encounter Maintenance window.You can send an encounter collection letter for collection of an outstanding self-pay balance.You can add or modify an encounter note on the Encounter Maintenance window. Collection Letters

There are two types of collections letters used in NextGen® Enterprise PM. You can send a Demand Account collection letter to a guarantor that typically references the outstanding self-pay balance on their account. The letter include multiple encounters for multiple patients on the account. You can send a Demand Encounter collection letter to a guarantor that typically references a specific encounter on their account. The letter can be used for a variety of reasons, such as collection of an outstanding self-pay balance, or information requested by their insurance. You can first create letters in the Letters master file in File Maintenance, and then generate them for the appropriate guarantors in NextGen® Enterprise PM. Note: You can create demand account and encounter letters in File Maintenance in multiple languages and then print in NextGen® Enterprise PM based on the Correspondence Language selected in the patient's demographics. Budget Plans

A budget plan is a financial arrangement made between the practice and an account guarantor. In this arrangement, the guarantor agrees to make the scheduled payments against their outstanding balance until the balance is paid in full. There are two methods for billing accounts on budget plans, Budget Letters and Budget Statements. Each practice must decide the method of billing as it directly impacts the required setup. Setting Up Budget Plans You can set up Budget Plans in File Maintenance. Add a Perpetual Budget Plan to an Account You can use the Budget tab under the Account Profile window to add a perpetual budget plan to an account. Add a Non-Perpetual Budget Plan to an Account You can use the Budget tab on an Account Profile window to add a non-perpetual budget tab to the account. Collections

The Billing & Collections tab on the Encounter Maintenance window includes specific fields that are used for follow-up and collection purposes. On the Billing & Collections tab, you can do the following: Enter an encounter follow-up date Send an encounter collection letter Add or modify encounter notes Enter an Encounter Follow-up Date You can enter an encounter follow up date on the Encounter Maintenance window. Use the Collections Follow Up Report

The Collections Follow Up report track encounters on the Billing & Collections tab of the Encounter Maintenance window. The report has drill-down functionality with direct access to encounters in patient charts. If the Follow Up Date on an encounter is changed or removed, the patient is crossed-out on the report indicating the encounter has already been reviewed. Open NextGen® Enterprise PM. From the Reports menu, select Accounts Receivable. Select Collections, and then select Collections Follow Up. The NextGen Report Filter window opens. Select Columns, and then select the desired columns to be included in the report. Select Filter 1, and then select the desired Follow Up Date range for the report. Select Filters, and then select any additional data that you want to generate on the report. Select Sorting, and then sort and group encounters by the Follow Up Date.
