Detail Statement Options

Field	Description
Display detail information on statement	Shows detail statements display a separate line for each charge on the encounter. Additional lines for each posted transaction (payment, adjustment, refund) display below the charge. Do not select this check box for Non-Detail statements. Non-detail statements display a separate line for each charge on the encounter. Total posted transactions (payments, adjustment, refunds) are included on the same line as the charge.
Display encounter nbr on detail info stmt	Shows the encounter number on detail statements. Note: This only applies if the Display detail information on statement check box is selected above.
Display full patient name on detail info stmt	Displays the patient’s full name (Last, First) next to each encounter on the statement. If this check box is not selected, only the patient’s first name displays next to each encounter. Note: The patient’s full name displays next to each encounter on statements for employer accounts, regardless of this setting.

Charge/Transaction Options

Field Description Acct Minimum Statement Amt Shows Account Minimum Statement Amount range is used to designate the balance an account. It must have to qualify to receive a statement. Guarantors with an account balance within the defined range will qualify to have a statement generated. From / To Shows the dollar amounts that defines the account balance and determines that it qualifies to generate a statement. Acct Patient balance only Shows the patient balance on all encounters for the account and determines that it qualifies to generate a statement. The sum of total patient balance on all encounters must fall within the defined Acct Minimum Statement Amt range above the guarantor to qualify receiving statements. Acct Patient + insurance balance Shows the patient balance and insurance balance on all encounters for the account and determines that it qualifies to generate a statement. Field Description Include remit phone number on export Shows included practice’s phone number in the header section of statements that are electronically exported to a third-party vendor for processing (printing and mailing). For example, NextGen® EDI. Note: The phone number from the Practices master file in File Maintenance is used. Prefix practice ID onto account number Shows prefix account numbers on statements (printed or exported) with the four-digit Practice ID from the Practices master file in File Maintenance. The account numbers will appear as 16-digit numbers. For example: 0001000000001234 where 0001 is the practice ID and 1234 is the account number. Note: For exported statements, the third-party vendor must be able to accommodate this extended number format. Order by patient name within each statement Display multiple patients on a single statement in alphabetical order by first name. Statements Job

You can create a job to generate and export statements. Warning: If a Statements job fails to export the file, NextGen® Background Business Processor does not export the statement file, even if it looks acceptable. When a Statements export job fails, it is probable that NextGen® Background Business Processor has not updated the Next Statement Dates. This could result in duplicate statements in the next statement run. Configure the following fields: Field Description Statement Action Indicates whether you want to print or export the statement. Require Account Minimum Statement Amount Indicates the account minimum statement amount to display on the statements. Components of the Referral Code Tracking Window

Field Action Encounter Mode Select this button if the referral is approved for a specific number of encounters. This button is selected by default. Units Mode Select this button if the referral is approved for a specific number of charge units. Referral Code Enter the referral number obtained from the insurance company. This field is mandatory. Components of Encounter Information

The following table describes the fields that appear in the Encounter Information section when you select an encounter from the Encounters section: Field Description Encounter Nbr Displays the system-assigned encounter number. Encounter Date Displays the Billable Date entered for the encounter on the Encounter Maintenance window. Encounter Status Displays the current status of the encounter.
