Voiding Charges

You can void the processed charge from the encounter on the Charge Posting window. A voided charge remains on the encounter. The original charge amount and quantity are automatically reversed. You cannot void a processed charge with an unposted transaction. You must remove the transaction if you want to void the charge. You can void a processed charge with a posted transaction. The posted transaction results in a credit balance on the voided charge. The Void button on the Charge Posting window is available for the following: Processed charges with no transactions. Processed charges with auto-adjustments. Processed charges with posted transactions. Note: When you void a charge, tax charges are also voided. Charge Discounts

You can apply discounts to the charges for an encounter from the Charge Posting window in NextGen® Enterprise PM. You can enable Discounts in the Practice Preferences window by selecting Enable discounts in charge entry and Apply patient discount to patient balance only options on the Charge Entry tab. When this functionality is enabled, you can open the Discounts window and select the following for each encounter. You can select Discount Adjustment Code to apply discounts to charges. You can select Encounter to apply discount adjustment to all charges on the encounter or Line Item to apply discount adjustment only for selected charges on the encounter for the Discount Level. You can select By Percentage when the discount amount is in percentage of the total charge amount or Line Item when you apply the discount adjustment only for selected charges on the encounter for the Discount Method. After selecting Discount Adjustment Code, Discount Level, and Discount Method, the system applies

Remove Charges from an Encounter to be Deleted

You cannot delete encounters with processed charges or with charges with posted transactions. Access the Patient Chart. Select the Encounters tab, and then the General sub-tab. From the Encounters list, select the encounter to be deleted. Right-click and select Charges from the menu. The Charge Posting window opens. From the ledger section of the window, select a charge to be deleted. Select the Delete button. A prompt appears asking to confirm if you want to delete this charge. To delete the charge, select OK. The charge is deleted from the encounter. Repeat steps 5-7 for additional charges to be deleted. Close the Charge Posting window. Parent topic: Delete Encounters

Delete a Charge

Open NextGen® Enterprise PM. Select Charges. The Charge Posting window opens. Select the patient and the charge you want to delete. The system displays the charges for the selected encounter. You can do one of the following to delete a charge. Select the charge, and then select Delete. Right click the charge, and then select Delete. Note: The Delete button on the Charge Posting window is available for unprocessed charges with no transactions or auto adjustments. Select Save. Parent topic: Deleting Charges

Reverse a Charge

To reverse a charge, do the following: Open NextGen® Enterprise PM. Select Charges. The Charge Posting window opens. Enter a new charge. Select QTY, and then enter -1. The system negates the original charge. Type a note in the Notes field to explain the reversal for audit purposes. Select OK. Note: If the initial charge had an automatic adjustment applied to it, you must edit the initial charge before reversing a charge. Parent topic: Deleting Charges

Remove Unposted Transactions from an Encounter to be Deleted

You cannot delete encounters with posted transactions. From the main toolbar, select the Posting button. The Batch Posting window opens. Select the batch that includes unposted transactions for the encounter to be deleted. Right-click and select Ledger from the menu. The Transaction Ledger window opens. Select a transaction to be deleted. Right-click and select Transactions from the menu. The Payment Entry window opens. Select the Delete button. A prompt appears asking to confirm if you want to delete the transactions from the batch. To delete the transaction, select OK. The transaction is deleted from the encounter. Close the Payment Entry window. The Transaction Ledger window opens. Repeats from steps 4 to 8 to delete additional transactions. To close the Transaction Ledger window, select Close.
