Set Up a Batch Header Record

You can create a batch header record to enter payments, refunds, and adjustments for transactions. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select open menu , select New, and then select one of the following options: Batch to create a batch for anyone in the system, and define the default Process Date or Adjudication Date. Enterprise Batch to enter, balance, and post transactions from multiple practices within the same enterprise. Quick Batch to create a batch secured to you, using the default system dates and an active status. The Batch Maintenance window opens. Batch Maintenance Window Enter the required information for the batch. Select OK. The created batch displays under the Existing Batches list on the Posting window. Recording Transactions to a Batch

You can create a batch for initiating the payment posting process for patient payments, insurance End Of Business(EOB), and invoices. NextGen® Enterprise PM requires you to create a transaction batch header for entering payments or transactions. You can use the Batch Maintenance window to add transactions to batches for: Encounters Accounts Invoices Budgets Creating Batch Header Records You can create a batch header record to enter transactions in NextGen® Enterprise PM. Working with Sub Batches

You can create sub batches for a header record. Creating sub batches enables multiple users to work with their own sub batch while under the umbrella of one batch header. Sub batch is useful if you use a lockbox approach where all of the payments are combined in a general deposit. Using sub batches also ensures that the sub-header record is secured for the user. This is not available with a normal header record. You can set the ability to use sub batches on the General tab of the Practice Preferences window. Create a Quick Batch

To quickly create a batch header record with the need to work with the Batch Maintenance window, you can create a Quick Batch. When you create a Quick Batch, the application uses the current system date as the default date for the batch. Note: If a Quick Batch is created in NextGen® Optical Management, the batch appears as an optical batch in NextGen® Enterprise PM. From the main toolbar, select the Posting icon. The Batch Posting window opens. Select the open menu icon, select New, and then select Quick Batch. The Quick Batch window opens. Enter a name for the batch and select OK. Transaction Posting Process

NextGen Healthcare processes all monetary payments through batches. All transactions including charges, payments and adjustments are recorded in batches. Each batch is distinctive and can be accessed by a specific user or anyone in the practice. You can initiate the payment posting process by creating a batch header to enter relevant information for the batch. The header batch opens to ensure payments, adjustments and refunds are balanced.
