Manual Practice Closing

The application's Manual Closing process enables you to: Extend the process date longer than the 24-hour "lock-down" period used with Automatic Closing. Delete charges until the period is closed. The Manual Closing process functions only when the Auto Close process is not enabled. To simplify the Manual Closing feature, the application automatically sets the close date to the system date of the application server. You cannot change the close date unless the server date changes. CAUTION: If you are using Manual Closing instead of Auto-Closing, it is very important that you close out your practice on a regular basis. This directly affects the accuracy of the reports you generate. Setting Up a Minimum Override Process Date The Minimum Override Process Date feature enables you to set a minimum cut-off date for overriding the current process date for practice closing. Closing Out

The purpose of the Closing Process is to enable practices to close an accounting period or workday at their choosing. During the closing process, manual or automatic, the application stamps each charge and transaction with a process date. When you perform the Closing Process, any financial aspects of the charges dated before the current processing date can no longer be modified. You can, however, still change: Rendering physician Modifiers Place of service Applying a date stamp, such as the process date, enables accurate financial reporting on daily, monthly, quarterly and yearly basis. Auto Close The Auto Close process occurs every night when the system calendar date changes on the database server. Manual Practice Closing Closing an application manually enables you to extend the process date and delete charges. Viewing Transaction Dates

All transactions including payments, adjustments, and refunds can have the following dates associated with them: Transaction Date The transaction date is the date on which the payment is received. This date defaults from the Default Date selected in the Batch Maintenance window. You can modify the transaction date before the batch is posted. The transaction date cannot be modified after the batch has been posted. Post Date The post date is the date on which the transaction batch is posted. The post date is the system date and users cannot be modified. Process Date The Process date is the date recorded during the practice closing process. You can modify the process date before the batch is posted. The process date cannot be modified after the batch has been posted. The process date could be the following: The process date is same as the post date for Auto Close if not overridden by a backdate in the Batch Maintenance window. Activate Auto Close

Access NextGen® Enterprise PM. From the Admin menu, select Preferences, and then Practice. The Practice Preferences window opens. From the Preference List on the left, select General. Process Date Overrides

Authorized users can override the current process date for all transactions attached to a batch so that they appear on reports for the desired financial period. Using the Process Date field in the Batch Maintenance window, you can control the transaction date of the batch. To authorize a user, he or she must have access to the Batch Process Date Override function. When you leave the Process Date field blank in the transaction Batch Maintenance window, the process date assigned to all transactions in the batch is as follows: Auto Close - Process Date = Current System Date Manual Close - Process Date = Current Process Date (displayed when the close is performed) If necessary for reporting purposes, you can override the process date on the transaction Batch Maintenance window so that transactions entered in the batch are processed in a previous financial period. For example, a practice closes its month five business days after the calendar month end to give data entry personnel extra time

Charge and Transaction Dates

Charge Create Date: The date captured during charge entry for each line item and reflects the date the charge was created or entered on the Charge Posting window. The date is equal to the current system date and it cannot be modified. Charge Service Date: The date captured during charge entry for each line item and reflects the date the service was rendered. The date defaults to the Charge Posting window from the Billable Date field on the Encounter Maintenance window. The date can be modified either before or after the practice closing process. Charge Process Date: The date captured during the practice closing process. For Auto Close, the date is the same as the current system date unless the process date was overridden (backdated) on the Charge Posting window. For Manual Close, the date is the Current Process Date displayed on the Practice Closing window unless the process date was overridden (backdated) on the Charge Posting window.
