Copy a Template

You can copy an existing daily or weekly template when there is a need for two templates that are same or very similar. When a template is copied, all the information that is associated with the original template is copied to the new template, including time interval, categories, locations, and time slot overbooking allowances. You can then edit the new template as needed for a specific resource. For example, a resource's schedule is the same every week, but the resource is out of the office on alternate Friday afternoon. Copy the first template and then edit the second template to block out Friday afternoons. You can apply the two templates to the resource's calendar by applying each template for alternate week. Another example, Dr. Smith and Dr. Jones have the same schedule, but they work from different locations. Copy Dr. Smith's template and then modify the location on the second template for Dr. Jones. The two templates can then be assigned to the appropriate provider's calendar.

Daily Templates - Sched Admin

On the Daily Templates tab, you create templates for resources whose appointment schedules can be accommodated with one or more daily templates. You can create separate daily templates for each resource, or can create a single daily template and apply it for multiple resources with the same schedule. After you create the daily templates, you can assign one or more daily templates to the calendar of each resource. After templates are assigned to the calendar, the templates are available for viewing and scheduling appointments for the resource in the Appointment Book window. Daily templates are created using Categories from Scheduling Administration window and Locations from File Maintenance window. Note: When you select the Enable Enterprise Appointment Scheduling option in Practice Preferences, the Scheduling Administration window name changes to Practice Scheduling Administration. Weekly Templates - Sched Admin

On the Weekly Templates tab, you create templates for resources whose appointment schedules can be accommodated with one or more weekly (Monday - Friday) templates. If needed, Saturday and Sunday can also be included in a weekly template. Separate weekly templates can be created for each resource, or a single weekly template can be created and used for multiple resources with the same schedule. After you create the weekly templates, you can assign one or more weekly templates to the calendar of each resource. After the templates are assigned to the calendar, the templates are available for viewing and scheduling appointments for the resource in the Appointment Book window. Templates

Templates determine the basic structure of the appointment book in NextGen® Enterprise PM. You can create weekly and daily templates to define various schedules for a resource in the practice. Each template assigns event categories and locations to specific blocks of time. One or more templates are then assigned to a resource's calendar. Using the templates makes the appointment scheduling process much easier and reduces scheduling errors, conflicts, and overbooking of appointments. For example, if resource is not available in the office on Wednesday afternoons, you can create a template that automatically prevents anyone from scheduling office appointments for the resource on Wednesday afternoons. Apply Weekly Templates to a Resource

You can assign a weekly template to a resource's calendar. In NextGen® Enterprise PM, select Admin > Scheduling Admin. Note: When you select the Enable Enterprise Appointment Scheduling option in Practice Preferences window, the Scheduling Admin option on the Admin menu displays the following two options: Enterprise Practice The Scheduling Administration window opens. Select the Resources tab. From the list of resources, select the Resource to assign the templates. Select the open menu button and select Open. The Edit Resource window opens. In the Templates section, select Weekly Templates. This defines the type of templates that you can apply to the resource. Note: To change the template type for an existing resource, you must clear all the templates that are applied to any part of the calendar. Apply Multiple Templates to a Resource

Multiple templates can be assigned to specific weeks or days for a resource to provide more flexibility in scheduling appointments. In the Appointment Book window while using Daily view or Weekly Schedule view, you can use the View Template button on the toolbar to toggle between the templates assigned to the resource. Appointments can be scheduled on any of the multiple templates assigned to the resource. In NextGen® Enterprise PM, select Admin > Scheduling Admin.
