Master Files - System

The master files are divided into two main types: System and Practice. The System master files are shared across the enterprise; most of the data applies to all of the practices. The Practice master files are practice-specific. The System master files are further categorized by product. Providers Master File

In the Providers master file, you can set up providers who offer a service or refer a patient for a service. You can set the access right for the Provider master file to read-only for user groups. The setting prevents the user group from modifying the master file. For more information on setting up rights and permissions, go to NextGen Healthcare Success Community and download the latest System Administrator Guide for NextGen® Enterprise and see Rights and Permissions section. On the Providers List window, you can see the Rendering, Providers and National Provider ID columns. Rendering providers are indicated by a checkmark in the Rendering column. You can set providers as rendering on the Add/Modify Provider Information window of the Practice tab. The National Provider ID column displays the NPI number linked to the provider. Add or Modify Master List Items

To keep your reports manageable, consider adding no more than 25 codes to any one Master List table. You can set up a code of Other for each list to cover less frequently used data entries. Open File Maintenance. Select Master Lists. The Master Lists List window opens. In Master List, select a master list table. The items within the master list appear. To filter the master list items, select or clear any of the following check boxes: Include Hidden Items to display items in the master list that are hidden. Include EHR Items to display items in the master list that are set up as Show in EHR. Include PM Items to display items in the master list that are set up as Show in PM. The tab includes up to 8 user defined fields that can be set up in Practice Preferences and then used to collect patient information that is not already a standard field within the application. The tab also includes default rendering and referring providers, and marketing plan information for the patient. The information is saved for established patients with an existing chart, and for new patients when the chart is created. Information on the Chart Details tab is stored at the practice level; therefore, each practice can enter and maintain different information for a patient. Hide a Program

You can hide a program in File Maintenance. When hidden, the program is not available for selection in NextGen® Enterprise PM. For example, if your practice has discontinued their participation in a program, you can hide the program to prevent users from enrolling patients and linking encounters to the program. When you hide a program, all existing patient enrollments and encounter associations are retained and are available for reporting in NextGen® Enterprise PM. Access File Maintenance. Select System Master Files, then PM, and then Programs. The Programs List window opens. From the list, select a program to hide and then do one of the following: Select Open Menu and then select Hide. Right-click and then select Hide. Double-click to open the program, then select the Hide check box, and then select OK. A prompt appears asking you to confirm hiding the program. To confirm the hide, select Yes.
