Invoices Practice Preferences

The Invoices Practice Preferences enable you to set up default information for employer invoices for your practice and all related service locations. Invoice Options Field Description Minimum Invoice Amount Select this check box to designate a minimum balance to be used for printing an invoice. For example, you might not want to spend the amount on postage if the account has a zero balance. Invoice Sort By Select one of the following sorting options: option to sort and print invoices in alphabetical order by employer name or by invoice ID. Enter the drop-down arrow and select either Employer Name or Invoice ID. If you choose to sort invoices in alphabetical order by employer name, the invoice ID is used as a secondary sort. For example, if you have multiple invoices to print, all the invoices will first sort in alphabetical order. If there are multiple invoices for one employer, those invoices will then be sorted in ascending order by invoice number. Show Grid Lines Select this option

Filter the Invoice Grid

Billing Invoices

You can enter charges on an invoice and the invoice can be billed. Invoices do not go through the regular billing and claim edits process. They are billed when they are printed. An invoice has a status of Unbilled until it prints, then the status changes to Billed. If charges are added to a billed invoice, the invoice status changes to Rebill and the new charges have Unbilled status. You must print the invoice again to change the invoice status from Rebill to Billed and the charge status from Unbilled to Billed. Bill an Individual Invoice You can bill an individual invoice on the Demand Invoice window. Bill Batch Invoices You can bill batch invoices on the Practice Invoices window. Rebill an Invoice You can rebill an invoice if a charge is added or modified after the invoice was billed. Parent topic: Invoices

Itemized Bills Practice Preferences

Itemized Bills Practice Preferences enable you to configure the practice receipt for encounter bills and account receipts for the practice and all related service locations. The following table provides descriptions for the fields found in Practice Preferences > Itemized Bills. Field Applies to... Description Default header message account receipts encounter bills Enter the message that you want to print at the top of the statement. It can be up to 40 characters long. You can enter the practice address, phone number, website, etc. Default footer message account receipts encounter bills Enter the message that you want to print on the bottom of the statement. It is recommended that you do not use hard returns (ENTER key) in the message. Auto produce Itemized Bill when billing self pays encounter bills Select this check box to automatically generate an itemized bill when billing for self-pay encounters. Invoice Headers and Footers

Invoices have a standard Remittance Header and Default Footer as shown below. The standard remittance header includes the following information: Make Checks Payable To: Practice name and address Note: This section is replaced with a practice/company logo if imported from the File > Tools > Image Explorer menu. Addressee: Employer name and address If Paying by Credit Card: Statement, charge, and account detail Remit To: Practice name and address The standard default footer includes the following information: Account Number, Other Invoice Balances, Invoice Charges, Payments, Adjustments, Invoice Balance Message: Default footer message from Practice Preferences > Invoices Please Pay This Amount Payment Due Upon Receipt banner ACCOUNT INVOICE Page n of n By default, the remittance header and default footer print on every page for invoices. This increases the number of pages printed while generating invoices, particularly for practices that have many large employer accounts with multi-page

Report Option Descriptions

Use the table below to select settings for the report. Option Description Show Negative Numbers Select one of the following to determine how to display negative numbers: Normally 250.00. Displays negative numbers without a negative sign. In Parentheses (250.00). Displays negative numbers within parentheses. With a Trailing Sign 250.00-. Displays a negative sign (-) after the number.
