Orders Master Files Content

The Orders Module supports both standard lab tests (blood work, urinalysis, etc.) and radiology tests (x-rays, MRIs, etc.). These tests must be selected and defined for your practice.

You can use the tests in the NextGen compendium; you can use the tests from your testing entities (such asLabcorp); or, you can define your own set of tests. Before setting up the NextGen Compendium or Orders Tests, to ensure the most recent compendiums are loaded, your system administrator should run the Order Management Console.

The test settings, questions and other definitions for the Orders Module are set up using File Maintenance.

The master files store all data needed by the Orders Module, and they must also be properly set up before you can use the Orders Module. You should define these Orders master files first:Order Tests,Order Components,Order Test Favorites,Order AOE QuestionsandOrder AOE Answers. After setting up the required master files, it is recommended that you set up theOrder Result NotificationsandOrder Results Sequencesmaster files.

The following Orders master files are set up and updated in File Maintenance.

Master FileDescription
Order TestsYou can manually add or modify tests and their appropriate codes in the Order Tests master file. It is recommended that you create this table first.
Order ComponentsThe Order Components master file stores units and reference range data for individual tests. This is useful if using the NextGen results view or if you are entering results manually. It is recommended that you create this table second.
Order Test FavoritesYou can manually create Order Test Favorites Groups that consist of specific tests used by a provider. It is recommended that you create this table last.
Order Result NotificationsIn the Order Result Notifications master file you can build a list of users to notify when test results are received.
Order Results SequencesYou can create the display order in which test results are displayed in the result flow sheet. Set up this table after results are received.
Order AOE QuestionsThis master file allows you to create Ask At Order Entry Questions that require answers before a test order can be submitted, such as the patient's height and weight.
Order AOE AnswersThis master file allows you to create the list of valid answers for any Ask At Order Entry Questions associated with a test order. For example, you can predefine a list to select from for the AOE question "Patient's Race?"
Order NextGen Test CompendiumThis master file includes a list of all lab and radiology tests defined by NextGen. Before setting up NextGen Compendium, your system administrator must run the Order Management Console maps NextGen compendium codes to individual testing entity tables (such as Labcorp) that a practice uses to process tests. If your practice uses other compendiums, you must perform this process manually.

By mapping the NextGen Compendium codes to Order Test codes (vendor compendiums), NextGen® Enterprise EHR enables users to order based on the NextGen compendium codes; and, therefore, ensuring the appropriated mapped vendor code is sent across the interface. This is particularly important when ordering from a template, since the templates are created using NextGen compendium codes. This enables you to configure one set of Favorites using the Compendium codes.

Performing Entities for LocationsThe master file enables you to set up multiple locations for a single performing entity. It is not required that you set up multiple locations for a performing entity. However, if your practice has multiple locations, by setting up this master file, users can easily select the preferred location when working with orders. For example, a practice has three Quest lab locations with Faxing, they need to set up those three Quest locations with different fax details so the order is sent to the appropriate location.

The master file also enables you can set up In-House Performing Entity by which the laboratory and diagnostic order items mapped to this entity, are displayed in the list of common orders in NextGen® Enterprise CPOE.

Specimen ChargesIf your practice does the specimen collection for as test, you can bill the insurance company for that portion of the test. For each specimen draw that you perform, you have to define the SIM code. The SIM code determines what is charged.

The Specimen Charges master file lists all the specimens that can be charged for your practice. Once you add a specimen, you can update it or hide it but you cannot delete it. The specimen listed in the master file display in the Specimen Charge list of the New Order form in the Orders module.

To access the Orders master files, select Master Files > System in File Maintenance and double-click the desired Orders master file from the list to select the appropriate master file as listed in the table above.
