Before you begin
You must install the EHI Export Service before initiating a person extract. For more information on installation, go to NextGen Healthcare Success Community, and download the latest EHI Export Service Installation Guide for NextGen® Enterprise
You must enable the person extract permissions in System Administrator. For more information on person extract operation permission, go to NextGen Healthcare Success Community, and download the latest System Administrator User Guide for NextGen® Enterprise.
To have the most up to date information available for exported patients, you must commit any unmatched records/messages from the clinical message manager before exporting patient data.
You can extract a patient's Electronic Health Information (EHI) in File Maintenance. When you choose to extract, the EHI Export Service runs and extracts the EHI relevant to the patient, at a defined time once a day, after business hours, or at the time configured by the practice.
The extract is created in a computer-readable format only.
- In File Maintenance, select .
The
Person Extract window opens.
- Search for a patient using any of the following search filters.
- Last name
- First name
- Middle name
- Social Security number
- Birth date
Based on your search filter, the results appear in the Extract Candidates section.
- To include sensitive items from a patient's chart within the export, select the Include sensitive encounters designated as sensitive checkbox.
Note: The practice must have a consent procedure to ensure that only people with an approval can access sensitive patient information. The practice is responsible for ensuring that the appropriate records are given to an appropriate requester.
- To include specific practice data for export, select one or more practices from Practice(s) to include in extract list.
Note: By default, this field is hidden unless the enterprise chart is turned on, the patient participates in the enterprise chart, and the signed-in user has extract access to all practices in the enterprise.
Note: By default, the Practice(s) to include in extract field takes signed-in practice in File Maintenance.
- To extract a patient data, select the relevant patient.
- Select Extract.
A message appears confirming the selected patient extract.
- Select Yes.
A message appears stating that the patient extract request is queued for download. The EHI Export Service runs and performs the extract.
Note: The PHI log should be updated each time a request for records is made and the records are collected.
- Select OK to return to Person Extract window.
Note:
- If the table list contains a table that does not exist on the system, the system logs the error and continues with the export work. You can find the log file in the Logs folder of the local machine's DB server. C:\Program Files (x86)\Nextgen Consulting Services\NextGen EHR Export Service\Logs
- When a person initiates a patient extract, the Audit Report Tool logs the record. To view the record and extract folder number, you can log on to Audit Report Tool, and under Actions tab, select Patient Extract Initiated event under the Person category. - You can find the extracted data in a numbered zip file in the path chosen during the installation. The Export path can be changed using appsettings.json file.
- The best practice is to delete or remove the extracted files after the copy is given to the patient.
