Set Up Chart Tracking Reports

The Chart Tracking Reports master file is a list of reports to print. The outguide is a physical placeholder that replaces a chart when the chart is pulled from a file shelf. In File Maintenance, select Master Files > System > Chart Tracking Reports. The Chart Tracking Reports List window opens. Select on Open Menu and select New from the menu. The Tracking Reports window opens. In the Report Name field, enter the name of the report. In the Report Type field, select the type of report that this is. This report type is based on stored procedures. To the right of the Report File field, select Open Menu and then select the appropriate report file from the Select File window. Select OK. Enter any necessary notes about this report in the Notes field. Do one of the following: To save this report and specify another, select Next. To save this report and close the dialog box, select OK. Chart Tracking Preferences

There are three preferences that you can set up for Chart Tracking: Preference Description Office Holidays You can set up any date as an office holiday. These dates can include national holidays like Thanksgiving and Fourth of July as well as practice-specific dates when the office is not open for business. Printer Setup Set up available printers and locations with this preference. Note: Before you can complete the setup for home locations, first set up the home locations and the printers. Set up of Chart Tracking Location

Within the Locations master file, you can set up basic defaults for the Chart Tracking locations. These fields are only available when a Chart Tracking License is installed. Open the Locations master file and select a location. The Location Information window opens. Select the Chart Tracking tab. In the Operations Schedule list, select next to the appropriate days of operation to select them. In the Chart Tracking Location field, select the home location you want to activate. Providers Chart Tracking Tab

Within the Providers master file, you can set up the home and drop locations for the Chart Tracking locations. The Chart Tracking tab is only available when a Chart Tracking license is installed. The information you set here becomes available on the Options tab in the Chart Tracking Preferences master file. To access the Providers master file: From the Master Files > System list, select Providers. Double-click a provider. The Modify Provider Information dialog box displays. Select the Chart Tracking tab. In the Home Location field, select a location to activate as the provider's home location. In the Default Drop Location field, select the location to be the default drop location for the provider. In the Label Count field, select the arrows to specify the correct number of labels to print with each chart request. Under Service/Drop Locations, you can establish a drop location for each service location. There can be only one drop location assigned to each service location for a provider

Set Up Chart Tracking Print Priority

You can set the priorities for printing. After you create the priorities, you can assign them to the print types in the Chart Tracking Print Types master file. In File Maintenance, select Master Files > System > Chart Tracking Print Priority. The Chart Tracking Print Priority List window opens. Select on Open Menu and then select New from the menu. The Print Priority window opens. In the Name field, enter the name of the print priority. In the Priority field, enter the specific print priority. You can enter text or a number. Enter any necessary notes about this priority in the Notes field. Do one of the following: To save the print priority and create another, select Next. Set Up Storage Locations

You can set up your storage locations for patient chart items. From File Maintenance, select Master Files > System > Storage Locations. The Storage Locations List window opens. To edit an existing storage location, double-click a Storage Name. To create a storage location, select open menu and select New. The Storage Location window opens. Enter the following information: In Storage Name, enter a name for the storage location. In the Storage Type section, select the File System option. In the File Storage section, enter the path of the storage location or select open folder to select a folder you want to use as the location. In the Application section, select the EHR option. In the Note field, enter comments on the storage location, if any. Either select Next to enter another storage location or select OK to exit the Storage Location window.
