Case Contacts

Case contacts are the people who can be contacted regarding a case. A case contact can be a lawyer, insurance adjuster, family member, or a court appointed guardian. Users can select case contacts during case management setup in NextGen® Enterprise. Create a Case Management Contact

Access the Case Contact Lookup window for a case. Select the open menu icon. The Case Contact window opens. Enter the case contact details and select OK to save the details. Note: The saved case contact details can be modified only in NextGen® Enterprise PM. Except for Name and Role, all other contact details can be modified. Modify Case Contact Rights

Case contact information is secured and controlled within File Maintenance. Modifications in the NextGen® Enterprise PM application are only applicable at an individual patient level. Any modifications in File Maintenance are applicable to all patients based on case contact security settings enabled within System Administrator. Note: The security rights set in System Administrator can allow you to create, view, and delete case contacts. Access the System Administrator application. Select a group and then select the Rights tab. Under Modules, select File Maintenance > Case Contacts. Set the ability for the Case Contacts group to view, add, update, delete, and print cases. This security allows security in File Maintenance. Under Operations, select Chart/Demographics/Employer > Case Contact Addition and then select one of the following: Yes to grant permission for users to create new, open, and delete the case contacts at individual patient level. Case Management Master Lists

Master Lists are types of code tables that give you control of adding values for each list. You define data items to use for billing and collections, maintaining patient records, and tracking practice-specific information. The following Master Lists are necessary to set up Case Management: Case Category Case Contact Role Case Markets Refer to the following table to review a description of each master list type: Master List Description Case Category Case Categories are associated with specific cases and are used on Case templates in NextGen® Enterprise EHR. This item can be set as private to restrict user access. Case types in the Case Type master file can consist of these case categories. For example, the Private case type can have case categories such as: Mobile Services, 24 Hour Nurse Triage, Urgent Care, Consulting, CMCA, and None. Case Management Setup

Setting up Case Management involves the following: Grant the necessary user rights and permissions in System Administrator. Enable Case Management in File Maintenance. Set alerts. Add case information to: Fee tickets Form and label templates from the data repository Requires a case on an encounter. Activate claim edits. Set up the Case Type Master. File in the File Maintenance. Set up and populate the Case Category, Case Contact Role, and Case Market in Master Lists in File Maintenance. Restrict user access to case management in System Administrator. If you use template editor, create the appropriate Case Management Templates in Template Editor. Case Privacy

There is a security control setup at the Case level. Restriction of security rights can be set for: Diagnosis Category Employer Location Market Payer Case Type Case Category. For example, a list of restricted employers can be maintained for each group or role in the system. If it is documented that a patient’s case is associated with “NextGen” and NextGen Healthcare is marked as restricted, then the case is marked as private. Cases marked as private are suppressed if the case data has been designated as restricted for the specific user group. Private Cases All of the contents of an Encounter associated with a private case are not displayed in the Encounters tab. Any row data within the NextGen® Enterprise modules is hidden if the case is marked as private and the user is restricted. Documents in encounters that are marked as private are restricted in the Custom Print and Export Patient Documents features as well.
