Configure Workgroup

In File Maintenance, select Master Files > Systems > Workgroups. The Workgroups List window opens. Select the Open Menu button and select New. The Workgroup Configuration window opens. Enter a name for the workgroup in the Workgroup Name field. From the list of existing storage locations in each field, select a storage location for each of the following fields: Scan To Location - The original location where the scanned images are sent. File From Location - The location from which each scanned image is filed. Cache Location - The local location where images are stored for quick access. When you specify a storage location as the Cache Location, NextGen® Document Management looks in the cache for a requested remote image. If it finds the image in the cache, image access time is greatly improved. If NextGen® Document Management does not locate the image in the cache, it looks in the main image archive. Workgroups

Remote scanning in NextGen® Document Management requires that all remote locations, as well as the primary location, be part of a workgroup. A workgroup is simply one or more IP addresses that exist on one end of a router. A workgroup can belong to a different practice or enterprise than the workgroup to which the primary location belongs. You should set up a Workgroup for each range of IP addresses within a physical location. If you do not use the Remote Scanning Network Service with NextGen® Document Management, you can still configure Workgroups so that you can use the Cache location associated with each Workgroup. Provided its IP address is valid, the Workgroup Cache location overrides the Cache location specified in Practice Preferences. Set Up Workgroups Based on IP Addresses

Tasking Workgroup Setup

You can create and assign workgroups based on location or provider from the Tasking Workgroup Setup panel of the Tasking Configuration practice template. You can view and use these groups for task assignments in the Tasking Options panel. Tasking Workgroup Location Setup

Add a Workgroup Category

If the desired workgroup category is not listed, you can add a category. You can do this either by typing a category or selecting one from a picklist. On the Tasking Configuration practice template, expand the Tasking Workgroup Setup panel. Click the Location Workgroup Category field. If you click once, you can type in the field. You can also double-click the field, and select the desired category from the window that opens. An Add button appears when there is an entry in the field.
