Bar Code Data Fields in the Data Repository

The Data Repository contains bar code data fields for form and label templates. They include the following: Appointment ID (Barcode) in the Appointment Information section Encounter ID (Barcode) in the Encounter Information section Patient Medical Record Number (Barcode) and Patient Medical Record Number (ICS Barcode) in the Patient Information section System Master File Text (Barcode) in the System Information section These data fields use special bar code fonts to display appointment and encounter IDs as bar codes on a form or label. These fonts have been added to your Windows/Fonts or WinNT/Fonts folder on your system. Note: You must manually assign a bar code font to each of the bar code data fields that you add to a form or label template. Add Patient Pre-Printed Barcodes to Existing Form Templates

Before you begin The existing forms must have data fields that display in a barcode font. Open File Maintenance. In Master Files, select System, and then select Form Templates. In Form Templates List, double-click the template that you want to add the patient barcodes to.The Form Design window opens. On the toolbar, select Insert Data Field.The NextGen Data Repository window opens. Select the following data fields and drag them onto the form: Patient Information > Patient Medical Record # and Person Number (Doc Mgmt Separator). Encounter Information > Encounter Number (Doc Mgmt Separator). Note: Place the data field on the form one inch from the top and left side of the form. Make sure to have a one-inch space between the subsequent data fields. On the form, right-click one of the data fields, and then select Font > All Data Fields. The Font window opens. Insert Data Fields in Form and Label Templates

When you design forms and labels, you can use the NextGen Data Repository window to select and place the data fields that you want displayed when you print your custom designed forms or labels. To insert data fields in a form or label template: Open the template in File Maintenance. In the Form Design window, select Insert Data Field . The NextGen Data Repository window opens. Double click on the applicable icon to display the data fields for that icon. Insert a data field in one of two ways: Select and drag the data field onto the Form Design window and release the mouse button when you have positioned the data field where you want it placed. If you want to adjust its position on the form, select and drag it again. Select an item in the list, and then select Add. Add Barcodes to a Report

You can add barcodes to an SAP Crystal Reports by incorporating database fields into formulas. When you create the report, you should take into consideration about the field size, specifically height and width. If you create a barcode that is too wide or too small, it may cut off characters or not scan at all. For example, the maximum number of characters for a readable barcode on a lab specimen label is 19. Note: Before you select a report to modify, make a copy of the report and modify the copy. Create Barcode Separator Sheets

Before you begin Make sure that the document type you want to display in barcode form on the separator sheet includes Medical Record Number, Person Number, and Encounter Number fields, and these fields are configured for auto search. Create a form template that includes data fields that display with a barcode font. To create barcode form templates, refer to Print Barcode Form Templates You can include the patient and document type on one sheet or have them on separate sheets.
