Add or Modify a Statement Library
- Open File Maintenance.
- Select Libraries, and then select Statement.
The Statement Library List window opens.
- Do one of the following:
- To add a new library, select open menu and select New.
- To modify an existing library, select the item in the list, select open menu and select Open.
The Statement Library window opens. - In the Name field, enter a name for the defined library. This field is required.
- In the Note field, enter any additional information. The note does not print on statements.
- Select one of the following:
- Select Dunning messages by Aging if Statement Messages in the library are based on the age of the outstanding insurance balance.
- Select Dunning messages by Statement Counter if Statement Messages in the library are based on the statement counter (the number of statements previously sent) for the outstanding insurance balance.
- In the Nbr of Columns field, select the number of columns needed for the library being defined.
If Dunning messages by Aging is selected, the number of columns is added to the Aging Category section.
If Dunning messages by Statement Counter is selected, the number of columns is added to the Statement Counter Categories section.
- Do one of the following:
- Enter the number of days in each Aging Category column heading. The last column heading displays > to indicate days greater than the previous column. This column heading cannot be modified.
- Enter the number of statements in each Statement Counter Category column heading. The last column heading displays > to indicate statements greater than the previous column. This column heading cannot be modified.
- In the Statement Messages fields, select the appropriate Statement Message for each Aging Category or Statement Counter Category column.
- If applicable, select the When an insurance payment is posted, use the statements message [X] on the next statement if the balance is transferred to the patient check box and select Statement Message to be used when an insurance payment is posted, and the balance is settled moved to self, making the patient or guarantor responsible for the balance.
- Select Print the brief statement message next to each charge on the statement if the brief message should print next to the line item charge in the Description of Services column on detail statements.
- Select Print the long statement message at the end of the statement and reference the message using the statement code on the line item if the long messages should print in the body of detail statements after the last encounter listed.
- To save changes and close the window, select OK.
