Setting Up Document Management Preferences in Enterprise Preferences

The Document Management tab on the Enterprise Preferences window displays only if you have a license for NextGen® Document Management. This tab enables you to set some NextGen® Document Management options at the enterprise level. To set the enterprise preferences, you must: Set a network share location to store all documents and images used by NextGen® Document Management. Enable network impersonation so you can set restrictions on access to the network location where the actual documents and image files are stored. In File Maintenance, select Master Files > System > Enterprises. The Enterprises List window opens. Double-click the appropriate enterprise. Select Preferences and then select Document Management tab. Enter information in the desired fields. Activate Searching for Documents or Images Across Practices

Open NextGen® Document Management. On the toolbar, select Admin, and then select Preferences > User. The Doc Mgmt tab opens in the User Preferences window. In the Search Options section, select Enable Enterprise Search. In the confirmation message, select whether you want all practices to be selected by default in the NextGen® Document Management image search lookup. Note: When no practice is selected, the logged on practice is selected by default. The Practice Defaults folder appears next to the Enable Enterprise Search option. Select the Practice Defaults folder. In the Practice Defaults window, select OK. To search for an image, on the toolbar, select Search. In the Image Lookup window, select the search criteria, and then select Find.The Matching Records grid displays all documents associated with the selected practices. Configure NextGen® Document Management

Before using NextGen® Document Management, you must complete the following actions that can be performed in any order: Connect a scanner or an image acquisition device to a computer with the TWAIN driver installed. Configure NextGen® Document Management security rights in System Administrator. Set up the archive location for all images and documents by doing one of the following: If you are licensed to use remote scanning, set up the Imaging Archive Location folder on your network. If you are not licensed to use remote scanning, set up the Network Share Location folder on your network. Note: You must provide full access rights (read, modify, add, and delete) to users for these folders. Configure network impersonation. Create an organization structure for the documents and images. You can set up document fields, document types, and view categories for the organization structure. Set Up Locations for Storing Images

From File Maintenance, select Master Files > System > Storage Locations. The Storage Locations List window opens. To edit an existing storage location, double-click the storage name and open the Storage Location window. To create a storage location, select the menu icon, and then select New. Enter information in the Storage Location window. You can enter more storage locations by selecting Next. Select OK and then Close. To open the Practice Preferences window, do one of the following: In NextGen® Enterprise PM, select Admin > > Preferences > Practice. In File Maintenance, select Master Files > System > Practices, double-click a practice name, and then select Preferences. From Preference List, select EHR. In Storage Locations, select specific locations to set up for documents, images, notes, patient emails, patient reports, and patient education. Select OK.
