Locations

The Locations master file contains a list of locations where services are provided. In most cases, the Location master file is populated through the interface from your billing system. You can designate a location as either a practice office or as an external facility. Practice office – Each office of the practice is set up as a location. Facility – External facilities at which services are rendered are set up as locations, such as nursing homes and hospitals used for consultations. Setting Up Storage Locations

A storage location is a folder on your network that holds the scanned images and documents you generate when you use NextGen® Document Management. The setup for the storage locations must exist in File Maintenance before you can assign any of them to serve as either a permanent or temporary archive or a cache for scanned images. If you are using NextGen® Document Management for a single location, then you can create only one network storage location to serve as the permanent network share location for all scanned images. CAUTION: To comply with the Health Insurance Portability and Accountability Act (HIPAA) and the Certification Commission for Healthcare Information Technology (CCHIT) requirements for security of patients’ medical information, you should encrypt all instances of patients’ Protected Health Information (PHI) that are stored on portable media devices using the Advanced Encryption Standard (AES) – 128-bit or higher. Performing Entity Locations

You can set up multiple locations for a single performing entity. You are not required to set up multiple locations for a performing entity; however, if your practice has multiple locations, by setting up this master file, users can easily select the preferred location when working with orders. For example, if your practice has three Quest lab locations in its area, set up faxing for those locations with different fax details so that the order is sent to the appropriate location. You can set up In-House Performing Entity by which the laboratory and diagnostic order items mapped to this entity, are displayed in the list of Common Orders in NextGen® Enterprise EHR Computerized Physician Order Entry. Providers EHR Tab

On the EHR tab of the Modify Provider Information window, you can enter provider data that is specifically used in NextGen® Enterprise EHR. Field Description Provider Locations Select one or more locations to associate with the provider. This field only appears if one or more locations are set up as internal locations. The Internal Location check box is selected on the Location Defaults tab of the Locations Information window . NextGen® Enterprise EHR displays only providers assigned to the location selected in the toolbar. Practice Name Enter the name of the practice name that the physician is mapped to in NextGen® Enterprise EHR. Configuring User Preferences for Locations

You can define your preferred locations and configure the order of those locations in NextGen® Enterprise PM and NextGen® Enterprise EHR. You can also define whether the Location fields throughout the NextGen® Enterprise PM and NextGen® Enterprise EHR applications and reporting are limited to only your preferred locations. In File Maintenance, location preferences can be defined in the Default User Prefs - Locations master file, and then assigned to groups of users or individual users in System Administrator. In NextGen® Enterprise PM, you can modify your own location preferences in Admin > Preferences > User > Locations.
