Location Tax

Use the Location Tax master file to enter the sales tax rate on NextGen Optical Management-related items for a location. From the Master Files - Optical Management list, select Location Tax. The Location Tax List window opens with all of the locations listed from the Locations master file. To add or modify sales tax rate, select the location in the list, select Open Menu, and then select Open. The Location Tax window opens. In the Tax column, enter the sales tax rate for each category item. You can specify up to three digits after the decimal point for the tax rate. If you want to hide the item in the list or remove it from tax calculations, set its value to 0.000%. Select OK. Parent topic: Master Files - System

Setting Up the Inventory Adjustment Reason

Use the Inventory Adjustment Reason master file to specify the reason for an adjustment to inventory in the NextGen® Optical Management application. When building this master file, you must consider not only why the change in inventory is occurring, but also whether it is a write off, return, or transfer. From the Master Files - Optical Management list, select Inventory Adjustment Reason. The Inventory Adjustment Reason List window opens. From the list, do one of the following: To add a new item, select Open Menu and then select New. To modify an item, select the item in the list, select Open Menu, and then select Open. The Inventory Adjustment Reason window opens. Enter a short description explaining the reason for the adjustment in the Description field. In the Type of Adjustment field, select one of the following types of adjustment: Inventory Return Inventory Write Off Inventory Transfer Enter any additional information in the Note field. Locations

The Locations master file contains a list of locations where services are provided. In most cases, the Location master file is populated through the interface from your billing system. You can designate a location as either a practice office or as an external facility. Practice office – Each office of the practice is set up as a location. Facility – External facilities at which services are rendered are set up as locations, such as nursing homes and hospitals used for consultations. Locality Tax Rate

The Locality Tax Rate master file stores tax rate information for each city that uses the Tax Rate functionality. When charges are rebilled the tax rates for date of service for charges will define the tax rates that apply to taxes. Only one tax rate can apply per date of service. From the Master Files – System list, select PM > Locality Tax Rate. The Locality Tax Rate Search window opens. Do one of the following: To add a new item, select Open Menu, and then select New. To modify an item, select it in the list, select Open Menu, and then select Open. You can also double-click the item to open it. The Add Locality Tax Rate Information window opens. Enter the effective and expiration dates for the tax rate. Note: The effective time period for each Location Tax file is unique. Only one Location Tax file can be in effect at any one time. Enter the city, state, ZIP code, and county for the location. Note: For the tax rates to be used, the ZIP code you entered has to match with the service

Remake Reasons

You can only access the Remake Reasons master file if you are licensed for NextGen® Optical Management. Use the Remake Reason master file to create a list of reasons for remaking a contact or eyeglass order. To add or modify a remake reason: From the Master Files - Optical Management list, select Remake Reason. The Remake Reason List window opens. From the list, do one of the following: To add a new item, select the Open Menu button and then select New. To modify an item, select the item in the list, select the Open Menu button, and then select Open. The Remake Reason window opens. Enter the remake reasons according to the following table. Field Description Description Enter a description that explains why it is necessary to remake the contact or eyeglass order. Some examples include: non-adapt, customer change, wrong Rx, and not made as ordered. This is a required field. Note Enter any additional information.
