Associations Tab

Creating associations assists you with securing Protected Health Information (PHI) by limiting or expanding access to the Master Patient Index (MPI) and other person records in the application. The limits set by the practice associations are not affected by the MPI definition. Limit Access to Patient Records

Four methods help you meet Health Insurance Portability and Accountability Act (HIPAA) Privacy regulations by limiting access to patient records: Associations – By assigning practices to associations, enables users in one practice to view records in other practices within the same association. MPI Definition – Restricts the patient records that a user can view by limiting the records to the MPI at the system, enterprise, or practice level. Secure Lookup – Enables users to securely search for a person record outside of their associations by using the last four digits of the patient Social Security number or the birth date. Patient Sharing with Inclusion and Exclusion Lists – Enables you to set up specific lists of patients that a user can or cannot view. Understanding Associations

An association is a logical grouping of practices that have a business interest, activity, or purpose in common. Associations are specifically designed to help you meet HIPAA Privacy regulations by limiting access to person records at the association level. A default association with an ID of 000 is automatically created in the database for new installations and for upgrades. Any default associations from previous versions of NextGen® Enterprise EHR or NextGen® Enterprise PM are mapped to the new default association. New person records created prior to the creation of any associations other than the Default Association 000 or existing person records not assigned to a specific association (for example, the records exist in the Master Patient Index (MPI) due to a demographic conversion from another system) will remain attached to the Default Association 000. Assign Practices to an Association

Every practice is automatically added to the DEFAULT association. You can, however, assign a different Association to any practice. Select a practice. The practice details appear. In the Association list, select the association that you want the practice assigned to. Select Update. Note: You must select Update after every practice assignment to an association, otherwise the practice assignment to the association does not save. To assign more practices to different associations, repeat steps 1 – 3. Close the System Administrator application so that the person association assignment can take effect in the database.
