Preferred Locations and Location Restrictions

If a practice contains a large number of service locations, you can apply an additional method of security that restricts user activity within specific service locations. Defining access for each user by their “preferred locations” provides greater control over which functions the users can perform and lowers the incidence of data entry errors. For example, preferred location limits can prevent someone in the downtown office from performing billing functions for the east side office. The preferred location settings include the following: Limit which locations a user can access when searching for information within NextGen® Enterprise PM Limit reports to only display data from the user’s preferred locations. Limit users to generate letters associated only with preferred locations. Limit creation of new medical record information according to the user’s preferred location settings. The Directory is structured with enterprises, practices, groups, and users in the following way: When you start a NextGen® Enterprise application, you are provided with one default enterprise, practice, group, and user. Adding additional enterprises and practices to the directory allows you to manage multiple practices and provide more secure access to patient data. Each user must be assigned to a group, which in turn must be assigned to a practice, and each practice is assigned to an enterprise. View Rights for a Specific Product

The Rights tab in the System Administrator application contains a long list of rights, but you can display only the rights related to a specific product that you are licensed for. You can view the rights specific to the following products: This Option... Displays the Rights Related to... Modify Location Restrictions

Select the user, and then select the Loc. Restrict tab. The Non-Preferred Locations section lists the locations in the current practice that are not designated as "preferred" for the user. If no preferred locations are selected on the Locations tab, all locations will be listed here. The Non-Preferred Location Rights section displays the current non-preferred location level security settings for the highlighted item. These rights are affected by the practice-level rights combined with the selections in the Rights Override section. You can remove the right at the practice level, which automatically removes the right from the location level. Or, you can remove the right at only the location level. Removed rights display with the symbol. In the Non-Preferred Location Restrictions list, select the security right that you want to further refine for the selected user's non-preferred locations. Assign Rights for the Secure Lookup Feature

To provide access to the secure lookup feature, security rights must be assigned to the appropriate user groups in your practice. When the Secure Lookup right is set to Yes for the group that the user belongs to, the L4DSSN and secure Birth Date fields display on the Person/Patient Lookup window; the fields do not display if the access right is set to No. For more information on using secure lookups in the People Lookup window, go to NextGen Healthcare Success Community and download the latest Appointment Scheduling Guide for NextGen Enterprise PM. Select a group, and then select the Rights tab. In the Operations permissions group, expand Chart/Demographics/Employer, then select Secure Lookup. Set User Preferences Rights

You can determine whether users can change their own User Preferences in NextGen® Enterprise PM. If these rights are enabled and you apply default user preferences to the users, then the users can change the preferences. If you disable the rights, the users are restricted from making changes. Open System Administrator. Select a group. On the Rights tab, select: Under OPERATIONS > Preferences > Location, set whether the users can access the location User Preferences to set up preferred locations. If this Operations right is turned off, then the Locations menu item in NextGen® Enterprise PM (under Admin > Preferences > User) is disabled. Under OPERATIONS > Preferences > Scheduling, set whether the users can access the scheduling User Preferences. If this Operations right is turned off, then the Scheduling menu item in NextGen® Enterprise PM (under Admin > Preferences > User) is disabled. Under OPERATIONS > Preferences > User, set whether the users can access the general User Preferences.
