Automatic Payment Collections

You can set up the Automatic Payment Collections (APC) feature, which is an integrated billing collection process, with NextGen® Pay powered by InstaMed. APC enables your practice to bill a patient's credit card or checking account based on the statement cycle set up in Practice Preferences. Your practice can process automatic payment collections on outstanding patient balances after insurance has paid their amount up to agreed upon maximum per statement. The NextGen® Enterprise PM APC features offers you benefits which include: Guaranteed and improved patient revenue with automatic payments Cuts cost as there are no print and email statements. Increased efficiency due to a better workflow You must be a NextGen® EDI print services client to use this feature. You can access the InstaMed APC Portal from the patient's account profile to enroll the patient at any time before or during a visit. Collect Payment Using Credit Cards on File

You can collect electronic payments using a credit card on file. You can use the active credit card for a patient. If the patient has more than one credit card on file, you can use the credit card specified by the patient or payer. Note: You must activate a batch before you process a patient's payment. In NextGen® Enterprise PM, select Posting.The Batch Posting window opens. Right-click a batch and select Active Batch. Double-click the active batch.The Payment Entry window opens. In the Payer field, select patient. Select CC Pay and then select Card on File.The Payment Processing window opens. The default card displays in Credit Card on File. Patients can make direct payments to the NextGen® Pay powered by InstaMed payment portal for services received. NextGen® Pay powered by InstaMed sends the charges along with any Automatic Payment Collection (APC) charges to the practice in an end-of-day or EOD file. The end-of-day file has a similar format and import process as a patient pay or lockbox file. An end-of-day file is imported using the electronic remittance advice or ERA process that creates automatic batch and transactions entries. End-of-day files imported into NextGen are matched using the NextGen Practice ID and Encounter Nbr or Account Number. For account-level payments, the distribution of payment applies to any encounters with a patient balance using the First In, First Out (FIFO) method. If an encounter-level or account-level payment is greater than the patient balance, the overage is applied as an account-level unapplied payment. Import the End of Day Files

Before you begin You must setup the end-of-day (EOD) file before importing it. Open NextGen® Enterprise PM. Select File > Processes > ERA Posting. The Import Remittance window opens. Under the Search Criteria section, enter the file or directory information, and then select Import. The EOD file is imported to NextGen® Enterprise PM, and a batch and transactions are created. An import posting report is also created which enables you to view the posted and unposted transactions. Note: The created batch must be balanced and posted. It can then be flagged for posting using NextGen® Background Business Processor.
