Add a New Vaccine Custom Name

In File Maintenance, select EHR > Vaccine Custom Name. The Vaccine Custom Name List window displays. To add a new Vaccine Custom Name, select the Open Menu button, and then select New. The Add Vaccine Custom Name window displays. Select the vaccine from the CPT Description list. For example, for the CPT description for 90696. Enter the Vaccine Custom Name, for example: Kinrix. Note: The system applies the custom name to the appropriate vaccine for all of the practices in your enterprise, not just the current practice you are logged on. If your practice wants to update the Vaccine Custom Name as a favorite, select the Update Vaccine Favorites check box. To save the Vaccine Custom Name, select OK. Note: If any practice within your enterprise has duplicate vaccines in a Favorite Category (that is, vaccines with the same CPT/CVX codes but different descriptions), an Assign Custom Name to Vaccine Favorite window displays. Create a Vaccine Custom Name for an Adult Vaccine Example

Scenario: Your practice wants to set up a vaccine custom name for the adult combination vaccine Hepatitis A & Hepatitis B using the trade name Twinrix. In File Maintenance, select System > EHR > Vaccine Custom Name. The Vaccine Custom Name List window opens. To add the Twinrix Vaccine Custom Name, select the Open Menu button, and then select New. The Add Vaccine Custom Name window opens. Select the vaccine from the CPT Description list. For example, the 90636 CPT description is Hepatitis A & Hepatitis B. In the Vaccine Custom Name field, enter Twinrix. Note: The system applies the Vaccine Custom Name to all practices in the enterprise, not just the current practice you are logged on. To update the Vaccine Custom Name as a favorite, select the Update Vaccine Favorites check box. To save the Vaccine Custom Name, select OK. When the user creates or updates an Immunization order, on the Select Vaccines tab, the system displays the custom name Twinrix in the Select Vaccine favorites list. Y

Setting up Vaccine Custom Names

The Vaccine Custom Name option enables you to create custom names for vaccines or update existing Vaccine Custom Names in File Maintenance. For example, your practice refers to the pediatric combination vaccine DTap-Hib-Polio (IPV) by the trade name Pentacel. Therefore, for increased consistency and efficiency, when selecting immunizations, your practice would prefer the system display Pentacel rather than the standard CPT/CVX Name. By setting up the Vaccine Custom Name, the system enables you to search by this name when selecting an immunization. It also displays the custom name in the Select Vaccine favorites list on the Select Vaccines tab (if it has been added to the Vaccine Favorites in File Maintenance). You can also update the Vaccine Custom Name in File Maintenance, if necessary. Note: When you set up vaccine custom names for one practice, the system applies the custom name to the appropriate vaccine for all of the practices in your enterprise. Update a Favorite User-defined Category Name for a Vaccine

When setting up Vaccine Favorites, you selected vaccines that your practice most frequently uses and that you may have assigned to user-defined categories. In the future, you may need to change the names of these vaccine favorite categories. Note: For the Adult or Pediatric Vaccine Favorites, you can only update the favorite items, you cannot update the Category Name. Access the Immunizations Practice Preferences. In the Vaccine Favorites section, select the user-defined Category from the Category list. Select the Open Menu button and select Open. The Rename Vaccine Favorite Category window opens. Vaccine Master Files

The Vaccine (Immunizations) Master Files are updated and maintained in File Maintenance. Master File Description Vaccine Admin Billing To select billing administration codes more easily, this master file enables you to set up a picklist of vaccine administration SIM billing codes at the practice level in File Maintenance. You can also set up custom SIM codes you have configured, such as a no charge employee Flu vaccine. The Vaccine Administration SIM Billing Codes enable you to select the billing administration codes to display when you administer immunizations (on the Vaccine Details tab's Admin CPT4 code field). Vaccine Billing If your practice administers immunizations for VFC-eligible patients, for billing purposes, you can set up custom VFC SIM codes for these patients. Using the Vaccine Billing option in File Maintenance, you can indicate that a VFC custom SIM code is a default billing code. The default indicates that an immunization is being administered for VFC-eligible patient

Create a Favorite Category for a Vaccine

Access the Immunizations Practice Preferences. In the Vaccine Favorites section, select the Open Menu button and select New. The Add Vaccine Favorite Category window opens. Create a name for the category, for example, Travel. Select OK. From the Favorite Category list, select the new category and select the Open Record button.
