Sending Public Health Case Reports

All states and territories in the United States require the submission of public health case reports for specific conditions. When submitted electronically, these reports are referred to as electronic initial case reports (eICRs).

One of the ways that NextGen® Enterprise can submit eICRs is through the Association of Public Health Laboratories (APHL) Informatics Messaging Services (AIMS) platform. If you are submitting to a particular public health agency (PHA) and that PHA has contracted with AIMS, then you can submit eICRs through AIMS. To export eICRs through AIMS, you must have NextGen® Share and contact NextGen Healthcare Support so they can perform the necessary Rosetta and HIE Gateway configuration.

When AIMS is in use, eICRs are triggered automatically whenever you enter reportable conditions in an encounter in NextGen® Enterprise EHR. However, you can also use the Data Share module to manually generate eICRs for AIMS, even for encounters that do not include conditions that normally trigger a report.

For more complete information about eICRs, including steps for PHAs that do not contract with AIMS, go to NextGen Healthcare Success Community, and download the Electronic Case Reporting User Guide forNextGen®Enterprise.

You can manually export eICRs to AIMS.

  1. Select Send Public Health Case Report to Public Health Agencies near the top of the Data Share pane.
Button to Send Public Health Case Report to Public Health Agencies

The Export tab appears. Most configuration options are prefilled:

    • Destination and Document Type are set to Public Health Case Report.
    • Under Clinical Information, Export Type is set to Encounter Level.

  2. In the lower pane, enter the reason for the public case health report.
  3. Select Send.
  4. In the confirmation prompt, select Yes to proceed.

A banner indicating a successful export appears briefly.

The Home tab appears. The Export History pane does not reflect eICRs, including the one you just generated.

  5. The Rosetta instance for NextGen® Share automatically transmits the eICR to AIMS for forwarding to the relevant public health agency (PHA).
