Set up Practice Preference for Capitalization of OCR Demographic Data

Before you update and capitalize a patient’s demographics information through OCR, set up practice preferences. In File Maintenance, select Master Files > System or Document Management > Practices. The Practice List window opens. From the list of available practices, double-click a practice. The Modify Practice Information window opens. Select the Preferences button. The Practice Preferences window opens. You can also arrive at the Practice Preferences window from NextGen Enterprise PM > Admin > Preferences > Practice. When the OCR Title Case option is enabled at practice preference and a patient’s demographics data is scanned using driver license through a scanner, first letter of each field of the following scanned demographics information is displayed capitalized: First Name Middle Name Last Name Address 1 Address 2 City When the OCR Title Case option is not enabled at practice preference and a patient’s demographics data is scanned using driver license through a scanner, each lette

Normalize Capitalization of the OCR Patient Demographic Information

Select the Lookup icon to access the Modify Patient/Person Information window. The Patient Lookup window opens. Enter search criteria for the a patient. From the Matching Records list, double-click the a patient. In the Update Patient Information window, right-click the square photograph area in the upper left and then select Open or New. From the Scanning Device Input window, select Open Menu >Acquire. From the ScanShell 800DX window, select the Custom Settings tab and do the following: Select Double Sided. Select Color. From the Resolution(dpi), select 600. From the Scan size, select Business card (90 x 55mm). Insert the driver's license in the scanner. Note: n the ScanShell 800DX window, the Paper sensor field glows in green, indicating that the inserted card is ready to scan. Select the Scan button. Update Patient Insurance through OCR

From the Add/Modify Patient Information window, in the Available Insurance section, right-click the existing insurance of the patient, and then select Open Insurance Information. From the Add/Modify Patient Information window, in the Available Insurance section, right-click the existing insurance of the patient, and then select Open Insurance Information. The Insurance Maintenance window opens. On the Ins Cards tab > the Insurance Cards section, select the Open Menu button. The Scanning Device Input window opens. From the Scanning Device Input window, select Open Menu >Acquire. The window layout may be different for other scanners. The settings are typically similar. For more information, refer to the documentation for your scanner. From the the ScanShell 800DX window, select the Custom Settings tab and do the following: Select Double Sided. Select Color. Using OCR to Update Patient Information and Insurance

To facilitate updates and reduce the risk of data entry errors, you can employ Optical Character Recognition (OCR) to retrieve a patient's demographic and insurance data from scans of the patient's driver’s license and medical insurance card. The driver's license supplies the patient's first, middle, and last names, address, date of birth, and sex. The insurance card supplies the patient’s payer and policy-related information such as the policy number, group name, group number, and policy expiration date. Note: : A license is required to use the OCR feature. To obtain a license, contact NextGen Healthcare Client Support. Changes made to the patient's demographic and insurance data through the OCR feature are audited.
