Immunizations Data Reconcilation Workflow

To reconcile Immunizations data for a patient, refer to the following workflow example. Select a patient. Access the Immunizations tab in the Orders module. On the Immunizations tab toolbar, select the appropriate registry. Note: If a default registry is set up in File Maintenance, the registry is displayed, or you can select the appropriate registry from the list on the Immunizations tab toolbar. Select Reconcile. The system displays existing Immunizations data for the patient on the Clinical Reconciliation window of the Immunization tab. On the Clinical Reconciliation window: Review the Immunizations data and determine the data to add or update (“match”). Perform the matching process until you have reconciled all appropriate Immunizations data. To save your updates, select Confirm. On the Orders Summary tab, the new Immunizations data displays on the grid, including the order status. Immunizations Data Reconciliation Set Up Considerations

Before you can reconcile a patient’s Immunization data, ensure the following has been configured and set up: Default Registry: The system retrieves the patient’s Immunization records from the registry. The Default Registry must be set up in File Maintenance in one of the following areas: If your practice has multiple locations, you can set up the Default Registry in the File MaintenanceMaster ListSystemEHRLocationsLocation InformationOrders Module tabRegistry Default list. This enables the system to query Immunization data for more than one location. To enable the system to query immunization data for practices in one location, set up the default Registry in File Maintenance > Practice > Preferences > Orders Module > Imm tab. Rosetta Agent for your practice’s default registry is configured. Accessing and Reconciling a Patient's Immunizations Data

To help your practice maintain accurate health information, keep immunization schedules current, perform catch up when necessary, and reconcile patients’ imported Immunizations data from registry with their current Immunizations data from the patient chart. By selecting Reconcile on the Immunizations tab, you can open the Clinical Reconciliation module from the Orders module. On the Clinical Reconciliation window, the imported Immunization data from registry and current Immunization data from patient chart display. You can then match registry data to existing NextGen® Enterprise EHR data. Once the match process is complete, you can view the reconciled immunization data on the Orders Summary tab and on the Immunizations Chart/Recommendation view. Setting Up the Security Rights to Access Clinical Reconciliation Immunizations data

To reconcile Immunizations data, users must have access to the NextGen® Enterprise EHR Clinical Reconciliation module. To provide this access, set up the user rights in System Administrator Module. Open System Administrator. Select the practice. Select the appropriate user group. Select the Rights tab. Select Modules to expand the list. Scroll through the list to find the Discrete Data Import option. Select the Immunizations option. To provide Access Rights for this group, select Yes in each of the access options (that is, View, Add, Update, Delete, and Print). The Access Rights default is Yes. To select or disable all of the Access Rights for this group, select Select/Deselect All. To save your changes, select Save. Enable the system to perform the Registry Query operations in System Administrator by selecting Operations > Orders > Allow Registry Query.
