Head of Household Information

In the Head of Household section of the Relations/Roles and UDS tabs, you can enter the person designated as the head of household for a patient. This may be the patient, or another person such as a parent or spouse. Family information, which includes family size and annual income, can then be entered and associated with the head of household. The information is saved for established patients with an existing chart, and for new patients when the chart is created. Note: A head of household must be selected for a patient to enter family information. Head of household information is stored at the practice level; therefore, each practice can enter and maintain different information for a patient. Sliding Fee Schedule Verification Information

In the Sliding Fee Schedule Verification section of the UDS tab, you can enter sliding fee schedules for a person or patient. These are typically used by Community Health Centers to automatically adjust a portion of the charges entered on encounters for a qualifying patient. The percentage of the automatic adjustment is based on household Family Size and Annual Income. Sliding fee auto-adjustments are reported on the UDS Report. Multiple sliding fee schedules can be created if needed. For example, if the percentage discounts vary for medical, dental, vision or behavioral health services, separate schedules can be created for each. Sliding fee schedule information is stored at the practice level; therefore, each practice can enter and maintain different information for a person or patient. UDS Information

In the UDS section of the UDS tab, you can enter information that is not part of the standard demographics record for a person or patient. This is typically used by Community Health Centers to capture information such as homeless status and migrant worker status. It is also used by Indian Health Systems to capture information such as tribal affiliation and blood quantum. UDS information is stored at the system level; therefore, all practices in all enterprises share the same information for a person or patient. Family Information

In the Family Information section of the UDS tab, you can enter family size and annual income for the patient's head of household. This information is typically used by Community Health Centers in conjunction with sliding fee schedules. When a patient qualifies for a sliding fee schedule, family size and income are used to determine the percentage of charges that are automatically adjusted for the patient. Family information is also reported on the UDS Report. Note: A head of household must be selected for a patient to enter family information. Add Family Information

Open the Patient Information window for the desired patient. Select the UDS tab. In the Family Information section, select the Open Menu button, and select New. Note: A head of household must be selected for a patient to enter family information. The Family Info window appears. In the Family Size field, enter the number of family members in the patient's household. The default value is 1. In the Income field, enter the income amount for the patient's household. The default value is $0.00. In the Income Cycle field, select one of the following. This field is required. Annually Monthly Weekly If the head of household refuses to provide income information, select the Refused to Report check box. The Income field becomes unavailable. Managing UDS Information

The UDS tab appears only when the Display person UDS fields option is enabled in Enterprise Preferences, UDS. On the tab, Community Health Centers can enter information for a person or patient that is used on the Uniform Data System (UDS) report, and Indian Health Systems can enter information needed for their reports. In Enterprise Preferences, each UDS field can be set up to be required for all persons and patients when a demographic record is created. In Practice Preferences, each UDS field can be set up to be required either for all persons and patients when an appointment is scheduled, or for all patients when a chart is created.
