Verify the CPT4 Code in the Service Item Library

Prior to selecting and ordering Immunizations, verify the CPT4® in the SIM Library. Select File Maintenance > Libraries > Service Items. The Service Items List window opens. Double-click the default Service Item Library for your practice. Note: The default Service Item Library is indicated by a green color check mark under the Practice Default column. Enter the CPT4® code in the Search field. If the code exists, it appears in CPT4 Code. To verify if your alternate Medicare Billing code exists, enter the Q code in the Search field. Note: If the CPT4® code or Q code does not exist, you must set up the Service Item Library. Add SIM Items to a SIM Library

After you have created a SIM library, you need to add service items and pricing information to the library. Select File Maintenance > Libraries > Service Items. From the Service Items List window, select the library to update. The Service Item Library Maintenance window opens. Select the open menu and select New. The three service item fields turn red. In the CPT4 Code field, enter a CPT4® code from your list of service items and then select Enter. The details for that CPT4® Code appears. In the General tab, do the following: In Eff Date, enter the effective date. In Exp. Date, enter the expiration date. In Non-Facility Price, enter the non-facility price in dollars. In Facility Price, enter the facility price in dollars. If you have more items to add, select Enter and repeat steps 4 to 6 for all service items you wish to add. Add Custom VFC SIM Codes to a Service Item Library

If your practice administers immunizations to VFC eligible patients, you can create custom VFC SIM codes for billing purposes. The steps to add Custom VFC SIM codes to the SIM Library is similar to adding a new SIM code. Note: After adding the custom VFC SIM codes, be sure to verify that the NDC ID Number exists in the NDC Library. Select File Maintenance > Libraries > Service Items. From the Service Items List window, select the library to update. The Service Item Library Maintenance window opens. Select open menu and select New.The three service item fields turn red. Do one of the following: In the CPT4 Code, enter a CPT4® code from your list of service items, and select Enter. Select the CPT4® code in the search results. The details for the selected CPT4® code appears. In the Service Item #, enter VFC as a suffix to the CPT4® Code. For example, 90657VFC. Immunizations Setup Best Practices for Billing VFC and Medicare Patients

If your practice does the following: Follow These Best Practices: Uses standard CPT4 codes only Has Medicare patients and bills Flu vaccines Set up altenate Medicare Billing Code (Q codes) in the NDC Library. Select your practice's NDC Library in File Maintenance > Practice > Preferences. Tip: The Q codes are added to your practice's Service Item Library (SIM) when the CPT codes are updated annually. Uses CPT4 codes and custom SIM codes (for example, no charge billing and VFC billing) Treats VFC-eligible patients and uses custom VFC SIM codes Has Medicare patients and bill Flu vaccines Set up a custom VFC SIM code for a specific CPT4 code in the Service Item Library. Define the VFC SIM code default in Vaccine Billing by mapping to the appropriate CPT4 Code. Note: To be able to set up the VFC code in Vaccine Billing, you must apply Hot Fix 51. Administer Immunizations for VFC-Eligible Patients

If your practice treats VFC-eligible patients, you can administer immunizations to them. Note: Before administering Immunizations, ensure that you have completed the recommended set up and mapping steps for custom VFC SIM codes. After selecting the vaccines on the Select Vaccines tab, select the Vaccine Details tab. The Create New/Update Immunizations Order for patient name window displays (on the Vaccine Details tab). On the Vaccine Details tab, select the vaccine, and provide the Vaccine and Immunizations Detail. For a VFC-eligible patient immunization, select the VFC Reason check box and select a VFC Reason from the list. In the Vaccines grid list, for the selected vaccine, Is VFC is selected and the VFC Reason displays. Select the Lot Number, if it does not display, enter it manually. Vaccine Inventory data populates.
