Assign Document Types to Users by Security Group

Before you begin Set up document types. You can control which document types are available to each NextGen® Document Management security group. The NextGen® Document Management security groups correspond to the user groups in System Administrator. When filing a document batch, users can apply only those document types that are available to their user group. Note: Users cannot file or search for documents until you assign document types to the user groups. Only a user with administrative rights can add document types to a group. To open the Security Groups window, do one of the following: Open NextGen® Document Management, and then from the menu, select Admin > Security. Open File Maintenance, then in the Master Files section, select System > Document Management, and then select Document Types. Select the open menu button, and then select New. Document Type Information Fields

The description of the fields, which appears on the Document Type Information window. Field Description Document Type Description Name of the document type you want to create. Document Type Template You can select a template with pre-configured settings for the document type: NextGen EOB: Adds a pre-configured EOB field and field settings to the document type. There should be at least 16 fields that populate after you select this option. Otherwise, the EOB functionality does not work. NextGen Fee Tickets: Adds a pre-configured fee ticket field and field settings to the document type. Patient Documents: Adds a pre-configured patient field and field settings to the document type. Signature Required Configures the document to require a signature. Duplicate Check Checks for any duplicate documents that are assigned the document type during the filing process in NextGen® Document Management. You can configure a document type for fee tickets so that when you assign it to a document during the filing process in NextGen® Document Management, the application creates a workflow task that instructs the user to post the charges listed on the digital fee ticket in the NextGen® Enterprise PM application. You must first create a document type for fee tickets and then create a task type for fee tickets in File Maintenance. Open File Maintenance. In Master Files, select System > Document Management, and then select Document Types. The Document Types List window opens. Select the open menu button, and then select New. The Document Type Information window opens. In Document Type Description, enter Fee Tickets. In Document Type Template, select NextGen Fee Tickets. Make sure that the Person Number and the Encounter Number fields are included in the document type and that they are both set to Auto Search. Select OK. In Master Files, select PM > Task Types. Create an EOB Document Type

File Maintenance includes an Explanation of Benefits (EOB) document type template that you can apply when you create a document type for EOB batches in NextGen® Document Management. The template automatically assigns EOB-related fields to the document type. Note: To use EOB filing with NextGen® Enterprise PM, a document type with the NextGen EOB template assigned must exist. Open File Maintenance. In Master Files, select System or PM or Document Management, and then select Document Types. The Document Types List window opens. Select the open menu button, and then select New. The Document Type Information window opens. In Document Type Description, enter the name of the document type, making sure the name indicates it is an EOB document type.
