Assign Document Types to Users by Security Group

Before you begin

Set up document types. For more information, go to Set Up Document Types.
You can control which document types are available to each NextGen® Document Management security group. The NextGen® Document Management security groups correspond to the user groups in System Administrator. When filing a document batch, users can apply only those document types that are available to their user group.
  1. To open the Security Groups window, do one of the following:
    • Open NextGen® Document Management, and then from the menu, select Admin > Security.
      • Open File Maintenance, then in the Master Files section, select System > Document Management, and then select Document Types.
      • Select the open menu button, and then select New.
      • In the Document Type Information window, select Security.
  2. Optional: To switch between the Document Types and Security Groups windows, select Change View.
  3. Select a security group.
    The document types assigned to the group appear. The presence of a check mark in the View or Print column indicates that the document type action is activated for the group.

  4. Select the open folder button.
    The Add/Remove Document Types window opens.
  5. From the Available section, select the document types, and then move them to the Included section.
  6. Select OK.
    The Security Groups window displays the document types you added for the group. By default, the View and Print actions are activated for each document type.

  7. Optional: To control which actions users can take on a document type, select the corresponding row in the View and Print columns to add or clear the check mark.
  8. Select Close.
