Program Configuration for UB Billing

You can collect UB billing data from the Admit Date/Time, Discharge Date/Time, Admission Source, and Admission Type fields: The data is collected on the Program Hx window and is stored on the Encounter Maintenance window. You can apply the configuration for individual programs using the BH Foundation Configuration template. Program Hx window When you select the program on the client’s encounter, the values you enter for the client in the fields are saved on the Encounter Maintenance window. Miscellaneous Configurations for BH Encounters

Configuration Name Configuration Details Enable Payer Location Updates When selected, the Encounter Location and Encounter Payers are updated when you select a program from the Program picklist on a BH Suite template. The system updates the location and payers to match those setup in the patient's Program Enrollment section on the Demographic (BH) template. Enable Encounter Admit/Discharge Date and Time Update on Program Selection When selected, the Admit/Discharge Date and Time information appears on the tis_programs_hx window. Encounter Maintenance window When you enroll a client in a program configured for UB billing, the Open Date entered on the tis_programs_hx window appears in the Admit Date and Admit Time fields on the Encounter Maintenance window. When you close a program, the Discharge Date and Discharge Time fields automatically appear on the Encounter Maintenance window. Document Admission Data

On the BH - Screening/Admission Note template, expand the Program Name panel. Click the Program name field to launch a list of choices. This list is not required and is customizable on the Custom Picklists Setup, system template. Set the Admission date. Enter a Service plan due date that is in the future. Click the clock button to enter the current time in the Start field. The Start and End buttons are available here and in the Behavioral health billing section at the bottom of the Screening/Admit tab. The values documented in either place are immediately reflected in the same fields on the other section. The entered times can be modified by clicking in the field. Set Up and Bill a Single Encounter

When creating an encounter for recurring billing, you must set up the encounter to activate the automated billing for the single encounter. Access the applicable encounter. The Encounter Maintenance window opens. Enter the date the illness/injury began in the Onset Date field. This is a required field for the initial encounter for recurring billing. Enter the date the patient is discharged from therapy in the Discharge Date field on the General tab. This field is required for a single encounter in a series. Enable the Initial Enc in Series check box. Note: This field displays only when the Type of Facility and Bill Classification fields are set up in Practice Preferences. Select OK. Add the appropriate charges. Note: The revenue codes, which are attached to service items, must be set up before posting charges on the Charge Posting window in order for recurring UB billing to be recognized. Bill the encounter. After the billing process is complete, a single claim in a series is generated

Set the Default Picklist Status

You can configure the default value for the Patient Discharge Status and Source of Admission picklists. To set the default value, you can update the Qualifier 1 field for the correct list time to Y. Open the BH Foundation Configuration template, and expand the BH DBPicklists panel. In the DBPicklist Name grid, select the Patient Discharge Status or Source of Admission picklist. Select the correct picklist value in the List Item grid. Update the Qualifier 1 field to Y. Select Update next to the List Item grid. BH DBPicklists

Configurable picklists are divided into two groups: those that are clinical in nature and those that are regulatory or configuration related. You can configure picklists that are clinical in nature in the BH DBPicklists panel and regulatory or configuration-related picklists in the BH Content panel. When you configure picklists, you must reference both BH DBPicklists and BH Content panels. You can configure picklists for individual practices or for your entire enterprise. You can view the available picklists in the DBPicklist Name grid. You can select a column header to sort the list by that column. In the Comments field, you can mention any additional details. Note: You must not change the DBPicklist Name field. If you change the name of the picklist, the picklist gets disabled on any template where it refers to. BH DBPicklists panel The List Item field displays the actual value that you need to display in the picklist. Some picklists may contain secondary information that you can use
